TOTE Maritime Alaska, the leader in safe and reliable service to Alaska, is seeking an experienced and highly motivated Business Services Generalist to join our team in our Tacoma, WA office.
Main Duties and Responsibilities Include:
- Assistant Security Officer, responsible for executing and maintain security operations, including maintaining all security records, liaison for regulatory inspections, overseeing USCG approved security plan, key control and handling terminal and 909 badge system.
- Responsible for all facility maintenance at the 909 building and Tacoma terminal, includes overseeing subcontractors to ensure projects are completed on time and within budget. This includes managing the Port Maintenance Program as stipulated in any Port Lease Agreement. This includes ongoing contracts such as janitorial services and includes procuring and administering any maintenance related grant funding.
- Maintains required security clearances for TOTE Facility Clearance & employees for related Dept. of Defense Audits.
- Manages general maintenance of the office: cleaning, paint and carpets, snacks and refreshments, vending, plants, general office supplies.
- Oversees and manages facilities and admin annual budget including reviewing and approving invoices and ensuring accuracy, in a timely manner.
- Create and monitor procedures regarding how visitors are received ensuring safety and a professional image. Maintain welcome TV as appropriate. Directs and assists visitors as appropriate.
- Assist with organizing training for Tacoma locations to include Hazwoper, Security, Storm water, Hazardous Materials, Emergency Response, First Aid, CPR, AED, terminal & 909 safety.
- Manages meetings rooms including maintenance, calendars, scheduling, food and refreshments.
- Assists employees, supplying general office and safety resources and materials as appropriate.
- Research, coordinates & budgets employee functions (holiday party, picnic, service awards luncheon, retirement parties & Community Meetings).
- Administers employee morale donations (i.e. non-profit donations or flowers) in the case of hospitalization or death.
- Maintains company organizational charts.
- Administers the various employee discount coupons and gift cards associated with recognition programs by contacting companies for coupon and gift cards as directed.
- Oversees FedEx & mail expenses to identify potential areas for cost reduction.
- Performs such other significant projects, analytical support, and work-related duties as may be requested to achieve the goals and objectives of the department and TOTE.
- Company intranet (TOTE Central) content editor.
- Performs other related duties as required and assigned.
The ideal candidate will have:
Qualifications (Education, Experience, & Certifications) -
- An associate degree in business administration or a minimum of five years' experience as an Executive Assistant, Office Manager, and/or office environment/administrative role preferred.

Pay will be based on several factors including the candidate's education, work experience, work location and specific job duties.
