Position Summary The Assistant Director of Admission Operations and Business Analyst plays a pivotal role in managing and enhancing the efficiency of the admissions process to support campus enrollment strategies at UMSL. Reporting directly to the Executive Director for Enrollment Management, this position provides leadership, oversight, and strategic direction for the admissions operations team. The role is responsible for analyzing data and processes, optimizing enrollment technology systems, and fostering professional development within the operations team to effectively support the university's enrollment goals. Key Responsibilities Admissions Operations & Data Management *Lead, mentor, and supervise the admissions operations team to ensure smooth processing of credentials and admission documents. *Oversee the full lifecycle of the admission application process, including acquisition, storage, retrieval, and reporting of applicant data. *Develop and implement streamlined workflows to enhance efficiency, data integrity, access control, and cost-effectiveness. *Establish and monitor key performance indicators to assess and improve application and credential processing efficiency. *Serve as the liaison for data analytics and reporting between the Office of Student Financial Services, Institutional Research, and the Registrar's Office. Data Analysis & Strategic Reporting *Develop dashboards, reports, and data queries using tools such as Slate, MarketView, and financial aid leveraging reports. *Provide predictive analytics on historical, current, and future enrollment trends to inform recruitment strategies. *Manage lead acquisition data and generate cost-benefit analysis reports to evaluate the performance of lead sources. *Generate heat maps to align recruitment travel, communication campaigns, and social media outreach with lead acquisition data. *Manage the prospect and inquiry import process in Slate and conduct quality assurance checks on lead management and application processing. *Oversee data and reporting files related to institutional aid discounting and financial leveraging, ensuring streamlined communication for applicants regarding financial aid packages. Systems & Technology Optimization *Identify opportunities for process automation and collaboration with hosted software solutions to enhance application processing. *Collaborate with IT and the Chief Technology Officer (CTO) to evaluate third-party vendors, define system performance standards, negotiate contracts, and monitor vendor effectiveness. *Direct digital initiatives for new student documents to improve document processing and decision-making efficiency. *Streamline admission decision-making processes to ensure timely access to student application materials and credentials. Compliance & Policy Implementation *Ensure compliance with university policies, federal regulations, state requirements, and accreditation standards related to admissions operations. *Review application files, recommend candidates for Admission Committee review, and apply university admission criteria in decision-making. Collaboration & Special Projects *Work closely with the enrollment management team to support overall enrollment, student satisfaction, and revenue objectives. *Foster a culture of excellence, innovation, and success within the admissions office. *Provide support for special projects and strategic initiatives as assigned by the Executive Director for Enrollment Management. Shift
40 hours a week, 8am-5pm, flexible hours available; evening and weekend hours may be required at times Work Environment & Schedule *Position requiring both on-campus work. *Some evening and weekend work may be required for admissions events and special projects. This role is critical in advancing UMSL's enrollment strategy by integrating data-driven decision-making, operational efficiency, and technological innovation within the admissions process.
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
*Master's degree from a regionally accredited college or university preferred. *3-5 years of experience in admissions and/or higher education administration with a focus on recruitment and operations. *Experience working with admissions CRM systems (e.g., Slate) and data reporting tools. *Strong understanding of enrollment data analysis, predictive modeling, and performance metrics. *Ability to make independent decisions based on data insights to resolve operational challenges. *Excellent communication, leadership, collaboration, and presentation skills. *Strong project management and organizational skills with the ability to oversee multiple initiatives. *Experience in data-driven enrollment strategy development and financial aid leveraging. *Knowledge of student recruitment software and experience enhancing yield and recruitment of diverse student populations (high-ability, multicultural, transfer, traditional, and nontraditional students). *Familiarity with process redesign, systems analysis, vendor management, and business intelligence reporting.
