Summary:

The Sr. Program Specialist is a key partner to Field Service leadership, ensuring that programs, meetings, and initiatives run smoothly and efficiently. This role supports leadership by managing strategic projects, tracking commitments, identifying field impact, and ensuring cross-functional alignment. They will oversee meeting coordination, content management, comms coordination, supporting culture initiatives, and event logistics-helping to keep Field Service teams focused on the right priorities at the right time.

Primary Responsibilities:



  • Leadership & Program Support:
  • Support Field Service leadership on Program & Culture initiatives (example: Field Council)
  • Track updates and commitments for strategic projects and the weekly staff meetings.
  • Act as a liaison between leadership and cross-functional teams, ensuring that initiatives move forward smoothly.
  • Support the leadership team by helping prioritize what needs to be done in order for our program to run effectively.
  • Meeting & Communication Support
  • Create agendas and outlines for recurring program meetings (weekly staff meetings, monthly huddles, monthly RM meeting, etc) working closely with the Communications Manager to ensure clear, consistent messaging.
  • Support program meeting logistics, such as scheduling and A/V setup
  • Identify communication needs within Field Service Operations and connect the Communications Manager to the right people for content creation.
  • Program Guide & SOP Management
  • Oversee content updates for the Field Service internal intranet, ensuring that leadership-approved materials remain accurate and relevant.
  • Work with the Enablement Team and partners to coordinate new content requests
  • Track and audit Field Guide & SOPs to ensure they remain up to date by working with SMEs and notifying the responsible teams when updates are needed.
  • Calendar & Event Coordination
  • Own the Field Service division annual calendar, tracking key dates and ensuring proper planning for major initiatives and meetings.
  • Manage logistics and content timelines for frontline meetings, ensuring that venues, schedules, and materials (swag, decks, etc.) are secured in advance.
  • Help plan and execute leadership offsites, and smaller program events, run point for Field Service on larger events.



Required Skills:



  • Highly organized, structured, and proactive in managing complex programs and deadlines.
  • Strong project management skills, with the ability to track and drive multiple initiatives forward.
  • Experience working with leadership teams, ensuring accountability and follow-through on priorities.
  • Strong collaboration skills-able to work cross-functionally and communicate with a variety of stakeholders.
  • Proficiency in creating decks (Keynote, PowerPoint) with the ability to structure clear, professional presentations.
  • Comfortable coordinating logistics for leadership meetings and ensuring seamless execution.
  • Exceptional verbal and written communication skills
  • Tech-savvy and proficient in:
  • Project & content management: SharePoint, Asana, Airtable
  • Scheduling & communications: Outlook, Microsoft Teams
  • Presentation tools: Keynote, PowerPoint

Required Experience & Education:



  • 3-5 years of experience in program or project management
  • 2+ years of experience in communications, operations, executive support, or a similar role.
  • 2+ years of experience in meeting coordination, event logistics, or content management.
  • Bachelor's degree in business, communications, organizational management, or a related field (or equivalent work experience).
