What you'll do

As an Expense Management Lead, you will play a critical role in driving financial efficiency and strategic alignment across our team and company. You will be responsible for the daily management, optimization, and governance of all expense-related processes, including the Concur platform and expenses. You will work closely with cross-functional teams, including finance, treasury, and procurement, to ensure streamlined operations, compliance, and continuous improvement in expense management. You will leverage your expertise in financial systems, process design, and project management to contribute to the company's long-term financial vision while fostering effective strategic partnerships and driving key initiatives.

This position is an individual contributor reporting to the Senior Manager, Travel & Expense.

Responsibility

  • Responsible for functional deliverables of increasing complexity

  • Represent the expense function on cross-functional teams, ensuring integration with other departments and functions

  • Oversee the forecasting of program growth, analyzing trends, and making data-driven decisions

  • Serve as the subject matter expert for all expense (T&E) systems, including Concur and related tools (such as AI & CBS), ensuring alignment with financial best practices and legal requirements

  • Lead cross-functional projects related to system implementations, upgrades, and acquisitions to optimize expense management processes

  • Drive changes to existing policies and processes to reduce inefficiencies and enable scalability

  • Recommend and develop improvements to the expense report audit processes to align with industry best practices

  • Ensure that controls are in place to mitigate risks of fraud and inefficiencies in reporting, processing, and approvals

  • Ensure expense management programs and corporate card systems meet country-specific tax, reporting, and legal requirements

  • Collaborate with legal and tax departments to maintain compliance across all regions

  • Identify opportunities for process improvements, simplifications, and automation

  • Seek ways to improve efficiency and scalability within the expense management process

  • Design and develop expense-related metrics, dashboards, and reports to inform business leaders and influence decision-making

  • Provide regular updates to stakeholders on program performance, trends, and forecasts

  • Act as the key point of contact for internal teams, including finance, treasury, and procurement, ensuring alignment, transparency, and smooth integration of systems

  • Cultivate strong relationships with suppliers and lead quarterly/annual reviews to ensure program effectiveness and performance

  • Lead training sessions, webinars, and provide ongoing support to employees on expense policies, tools, and resources to ensure consistent understanding and compliance across the organization

  • Review and edit standard operating procedures (SOPs), and manage the expense matrix and T&E policy revisions

  • Keep all policies, SOPs, and resources up-to-date, reflecting changes in systems, processes, and legal requirements

  • Manage team escalations related to expense reporting, approvals, and disputes

  • Act as the backup for leadership tasks, including employee support and reporting requests

  • Be responsible to manage and complete daily expense reports in the audit queue as well as complete internal and SOX audit requirements within expense

  • Close out emails, tickets and customer support from internal and external customers

  • Determine how to approach and structure your deliverables, which will become increasingly complex as the company grows and evolves

  • Evaluate multiple sources of data to make informed decisions, ensuring that expense management processes are efficient, compliant, and aligned with long-term goals

  • Be able to make decisions with little to no precedent, considering various data sources and perspectives to accurately assess opportunities and challenges


Job Designation

Remote: Employee is not required to be in or near an office frequently and works from a designated remote work location for the majority of the time.

Positions at Docusign are assigned a job designation of either In Office, Hybrid or Remote and are specific to the role/job. Preferred job designations are not guaranteed when changing positions within Docusign. What you bring

Basic

  • Bachelor's Degree in Accounting, Finance, Business Administration, or a related field, or equivalent work experience
  • 8+ years of experience managing expense-related programs with a strong emphasis on SAP Concur, implementation, and administration
  • Experience with strategic project management, process improvement, and leading both standard and non-standard work projects
  • Be available for 10% travel for off-sites, conferences and other

Preferred

  • Track record of driving change and improving systems within finance and expense management
  • Experience with implementing expense report audit plans using Concur
  • Detect (AppZen) or Concur Audit
  • Familiarity with Oracle ERP integration
  • Experience leading or participating in the RFP/contracting process
  • Proficiency with business intelligence software (Tableau, Qlik, PowerBI)
  • Experience with Confluence/Jira work boards and project tables
  • Expertise in Service now process and reporting
  • Strong working knowledge of financial data, budgeting, and reporting
  • Experience with various corporate travel payment options, including ghost cards and corporate cards feeds that require reporting and audit from concur
  • Advanced experience with Internal and SOX Audit reporting

Wage Transparency

Pay for this position is based on a number of factors including geographic location and may vary depending on job-related knowledge, skills, and experience.

Based on applicable legislation, the below details pay ranges in the following locations:

California: $108,700.00 - $168,675.00 base salary

Illinois and Colorado: $103,100.00 - $141,725.00 base salary

Washington, New Jersey and New York (including NYC metro area): $103,100.00 - $149,500.00 base salary

Washington DC: $108,700.00 - $149,500.00 base salary

This role is also eligible for the following:

  • Bonus: Sales personnel are eligible for variable incentive pay dependent on their achievement of pre-established sales goals. Non-Sales roles are eligible for a company bonus plan, which is calculated as a percentage of eligible wages and dependent on company performance.
  • Stock: This role is eligible to receive Restricted Stock Units (RSUs).
