We have an opening for an experienced and professional individual to serve as our Executive Assistant for our Healthcare Business Unit. This role will perform general and administrative duties for the Healthcare Business Unit Leader and Operations Business Unit Leader in a fast-paced, energetic environment. This role will produce detailed, accurate work on multiple and varied projects and require a proactive work style.

Essential Duties and Responsibilities:

* Support the Business Unit Leader and the Operations Business Unit Leader with day-to-day administrative duties, including but not limited to internal and external communication, scheduling appointments, managing office events, calendar management, documentation responsibilities, expense reporting, and presentation materials.

* Attend meetings and produce detailed meeting minutes.

* Prepare, manage, and refine content and materials for project pursuits and other presentations.

* Collect and prepare information for use in meetings and discussions with internal and external stakeholders.

* Manage, track and collect financial documentation from project teams monthly.

* Assist in getting certificates of insurance and bonds from the bonding and insurance agents.

* Assist with owner billings , certified payroll, insurance compliance, and SWAM participation

* Assist with documentation as it relates to federal projects and contracts compliance (federal reporting).

* Interface and correspond with Owner, architects, engineering firms, subcontractors, and other team members to build lasting relationships and provide superior customer service

* Ability to handle details of a confidential and critical nature.

* Help cover the front desk when needed by greeting guests, answering phone calls, and providing the highest level of customer service.

* Participate in the Hourigan Safety and Health Management System (SHMS) by committing to safe work practices, raising concerns, attending and applying safety and health training, and eliminating hazards within your capability and control and the help of safety staff.

* Perform other duties as needed.

Qualifications and Experience:

* Over 5 years of proven experience in administrative support roles, with a focus on efficiency and accuracy

* Previous experience in the construction industry is preferred, but not required

* Exceptional decision-making abilities, with a solution-oriented approach to problem-solving

* Strong service mindset, consistently delivering high-quality support and assistance

* Approaches all responsibilities and interactions with integrity, fairness, and a genuine care for others

* Proactively identifies challenges as opportunities to innovate and drive positive change

* Consistently exceeds expectations to deliver outstanding results

* Meticulous and process-driven, ensuring accuracy in all tasks

* Highly organized with a keen attention to detail in documentation and task management

* Skilled in prioritizing tasks and managing competing demands efficiently

* Self-motivated and capable of working independently with minimal supervision

* Excellent verbal and written communication skills, fostering clear and effective communication

* Professional, approachable, and adept at building strong interpersonal relationships

* Collaborative team player, thriving in a dynamic group environment

* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook, SharePoint, OneDrive, Procore, and Textura, with a willingness to learn Hourigan Group's proprietary systems

* Some travel may be required
