Role Overview The Project Administrator provides administrative and clerical support to the office for day-to-day activities. This position is responsible for administration of contracts, job start-up and close-out, bid forms, proposal forms, and bonds. Additionally, this role assists the office with various tasks as needed. This position provides significant opportunities for career growth, with the potential to specialize across different verticals, depending on performance and interest. Key Responsibilities As a Project Administrator, you will:
- Work closely with Project Managers and office staff, providing support as needed
- Print and upload plans for Project Managers
- Prepare and send submittals
- Prepare close-out documents
- Identify and log new Invitations to Bid on proper websites
- Maintain open communication with General Contractors regarding contact information, potential bids, and active bids
- Transfer drawings and specifications to OPS file
- Receive and notify Project Managers of call-ins from General Contractors and Private Owners regarding potential jobs
- Organize and maintain both hard copy and electronic job-related documents
- Log new jobs in the Excel Job Log
- Update and prepare the Bid Tracker for Weekly Project Manager Meetings
- Update the Bid Calendar with new bids and the assigned Project Manager's name
- Track safety documentation and certifications
- Upload reports for tracking project data
- Provide additional administrative support for the office
Qualifications and Experience To succeed in this role, candidates should have:
- Proficiency in Microsoft Office Suite (Excel, Outlook, and Word)
- Ability to multitask with time-sensitive projects
- Capacity to quickly learn new programs, features, and project information
- Excellent written and verbal communication skills
- 2+ years of experience in the construction industry
Preferred Qualifications
- Experience with Timberline
- Bid tracking experience
- AutoCAD experience
