GEMS - Agreement Coordinator

Description of Roles and Responsibilities

  • Responsible for assisting a team of project managers by performing advanced administrative and system processing tasks for multiple ongoing projects. Tasks include project initiation and facilitation through creations of system workflows, uploading documents, detailed activity and expert research and ensuring quality control in a regulated environment.
  • Provide advanced administrative support under general supervision to assist multiple project managers, including but not limited to, high volume email management, system workflow creation and updates, document review and upload, drafting email templates and database quality control.
  • Must have the ability to self-assign, regulate and complete various self-directed work assignments requiring advanced organizational ability and independent judgment within appropriate timelines to ensure a highly efficient project flow.
  • Keen attention to detail and understanding of team/client organizational system, urgency of items, overall timelines and technical skills needed to prioritize and self-delegate assignments in a fast-paced environment.
  • Responsible for multiple systems record creation and maintenance as well as quality control of existing records and data.
  • Independently utilize current work instructions and Standard Operating Procedures (SOPs) to ensure projects are completed correctly and within client compliance. Provide creative suggestions for continuous process improvement, efficiency, and clarity.
  • Regularly review the quality of all documents and system data for compliance with external and internal regulations. Ensure activities meet appropriate quality and compliance criteria.
  • Assist with gathering data and documents for routine and ad-hoc client audits.
  • Responsible for additional non-routine, non- repetitive assignments and projects of limited scope as assigned.
  • Must be proficient with Microsoft Office (Outlook, Word, Excel) products.

Minimum FTE Years of Experience

  • One-year of relevant experience and/or training; or equivalent combination of education and experience
  • Cultural consideration/sensitivity to work with employees, external stakeholders, and vendors from a multitude of countries.

Educational Requirement

  • Bachelor's degree preferred; or one-year relevant experience; or equivalent combination of education and experience
