Description

The Healthcare Association of New York State (HANYS) is seeking a Membership and PAC Operations Specialist within its Member Relations team. Reporting to the Director, Member Relations, this position will support both the Member Relations and Political Action Committee (PAC) activities, with a focus on data management, financial tracking, and administrative support. The position holder will also coordinate and administer multiple aspects of HANYS' state and federal political action committees; and contribute to the execution of projects and activities to achieve the goals of the Member Relations divisional workplan.

This is a hybrid position based in Rensselaer, NY and applicants must live within a commutable distance from our office. The expected annual salary for this position is between $65,000 and $71,000. Payrate offered will be based on the successful candidate's relevant experience, knowledge, skills, and abilities and in consideration of internal equity.

Key responsibilities include but are not limited to:

Member Relations



  • Supports the Member Relations team by coordinating tasks and projects to improve member engagement.
  • Maintains accurate member information in our association management system, including creating new accounts and updating individual details, organization data, and other key information.
  • Manages tasks such as resolving email bounce-backs, tracking meeting attendee roles, and assisting members with profile updates.
  • Serves as a resource within the Member Relations division to conduct web searches on member organizations and log relevant updates within the member database.
  • Executes project-based tasks in the member database at the direction of the Member Information Manager.



Political Action Committee (PAC)



  • Supports the operational and financial management of HANYS PAC and the Healthcare Association of NYS and Allied Associations' federal PAC.
  • Manages and coordinates PAC activities including tracking contributions, disbursements, and financial records in Excel and our PAC management software.
  • Works closely with HANYS' Corporate Finance division to maintain banking records, reconcile bank statements, manage on-line contributions, and ensure proper deposits into PAC accounts.
  • Assists with PAC fundraising campaigns by creating mailings, collecting approvals, and preparing recognition materials.
  • Facilitates HANYS' participation in political fundraising events by gathering event details, creating event calendars, and sharing information with key staff.
  • Ensures compliance with campaign finance laws by preparing and filing reports to the New York State Board of Elections and the Federal Election Commission.



Qualifications:



  • Associate's Degree required, Bachelor's degree preferred.
  • Minimum of three-to-five years of experience in data entry, operations support, program coordination, or a related field. An equivalent combination of education and experience sufficient to satisfactorily perform the duties of the job may be substituted.
  • Proficiency in Microsoft Office, with advanced skills in Excel and mail merge required.
  • Demonstrated Experience with data entry or database systems; familiarity with association or customer relationship management systems preferred.
  • Strong attention to detail with the ability to manage complex data and ensure accuracy.
  • Excellent organizational skills to manage multiple tasks, projects, and deadlines.
  • Effective critical thinking skills for analyzing information, solving problems, and making informed decisions required. Strong verbal and written communication skills for working effectively within a hybrid workforce.
  • Familiarity with state government and election processes, including campaign finance and political action committees, is a plus.
