Meetings & Events Administrative Assistant - Categorie Protette (Categorie Protetta L.68/99)

You will work independently and as part of a project team, working on assigned program components from conception to execution. We are looking for highly organized, detail-oriented individuals, who are flexible, can thrive in a fast-paced environment and handle multiple projects with tight deadlines. This role requires a high level of initiative, self-motivation, flexibility, creativity, and collaboration to be able to assist in the development, planning and execution of successful meetings and events. Great customer service is a requirement

Main Responsibilities:



  • Sourcing

    • Actively assist in determining appropriate geographical location and properties to research and present to clients based on budget and other specifications.
    • Increase destination knowledge through contact with suppliers to create availability reports
    • Use Cvent for sending RFPs (Request for Proposal) to properties to assist with venue sourcing


  • Attendee Management

    • Actively assist in managing both the registration and reporting process for attendees on various programs


  • Logistics Planning

    • Contribute to the end-to-end planning process including but not limited to menu planning, activity coordination, for events and rooming list management
    • With supervision, actively participate in elements of program planning and delivery to on-site team


  • Data entry and management

    • Manages and updates data in Meetingbox, Cvent and other systems as required
    • Manages transparency reporting for assigned meetings including entering required information in nominated tool, within required deadlines


  • Perform other duties as assigned.


Qualifications

  • Experience & education

    • Administration
    • Data management and quality
    • Meeting/event management experience, hospitality industry or customer service experience preferred


  • Languages

    • Effective communication in English preferred


  • Knowledge, skills and abilities (KSAs)

    • Good knowledge of Microsoft Office products (Excel, PowerPoint, Word)
    • Excellent verbal/ written communication skills internally and externally.
    • Good critical thinking and problem-solving skills
    • Proven customer service skills
    • Strong attention to detail, organizational, planning and multi-tasking skills
    • Ability to remain calm in fast paced, stressful situations
    • Ability to work well as a team player and be self-motivated
    • Belonging to "Categorie Protette" (L. 68/99)
