As the Catalog Coordinator, you will report to the VP, Catalog Marketing.

The ideal candidate is bilingual in Spanish and English and has excellent communication and interpersonal skills. You are a positive-minded career administrative professional with substantial experience organizing and managing the day-to-day responsibilities of an executive and senior management.

Work closely with the different markets of the region. You will be directly responsible for supporting the VP Catalog, with administrative and coordinator level activities.


What you'll do:

  • Book international and domestic travel logistics, prepare itineraries, and secure hotel accommodations, and rental vehicles in Concur.
  • Prepare meeting materials and responses to email/letter correspondences. Printed, organized, and filed current finance/operations reports.
  • Prepare expense reports and dispute billing discrepancies as needed, reconcile vendor invoices/estimates, and process and submit expense reports in Concur.
  • Create and process purchase orders for monthly recurrent payments, Runing Campaigns and Regional Support to other countries.
  • Manage calendars, and coordinate meetings & telepresence conferences.
  • Coordinate executive luncheons, on-site virtual team-building events, and off-site social gatherings.
  • Manage team vacation schedule. special events, holiday gift giveaways, and charitable contributions.
  • Other duties assigned include assisting the VP, Catalog and the department


Who you are:

  • Bilingual in Spanish and English (verbal and written)
  • A minimum of 1 year Administrative and/or Coordinator level experience in the Music Business is preferred.
  • You thrive in a fast-paced work environment and have a proven track record of being very organized.
  • You prioritize tasks and effectively manage multiple projects at the same time.
  • You are a passionate team player, and a selfless collaborator, effectively driving the agenda across the organization and with external stakeholders.
  • Able to influence positive outcomes in all dealings with people and situations.
  • Proficient in Microsoft Teams, SharePoint, OneNote, Excel, Word, PowerPoint, Adobe e-Sign, Axiom American Express Business Travel and Concur.
  • Excellent time management and organizational skills.
