Job description

Position Summary

Skywood strives to create lifetime relationships for long-term recovery. The Alumni & Community Outreach Coordinator is responsible for building positive relationships with 4 stakeholder groups: patients, alumni, families and local communities.

The Alumni & Community Outreach Coordinator will serve as the local representative for Skywood ensuring that all branding efforts are implemented in a professional and consistent manner. The Alumni & Community Outreach Coordinator will communicate Skywood' s message to key stakeholders as well as potential markets by planning and conducting successful alumni programs, alumni marketing events, and family outreach. As a member of the Skywood team, the Alumni & Community Outreach Coordinator reports directly to the Senior Administrator through a matrix organizational structure.

Essential Duties and Responsibilities

Coordinate Alumni Program

  • Introduce patients to the alumni program (present collateral brochures, speak to patient groups weekly and promote participation)
  • Coordinate alumni enrollment process
  • Organize & attend monthly/bi-monthly alumni events (develop program content, speakers & entertainment, activities, thank-you gifts)
  • Coordinate event communications (event & meeting invitations and follow-up)
  • Maintain facility alumni website with relevant & current content
  • Organize & attend alumni chapter group meetings
  • Write articles & event announcements for quarterly alumni newsletter
  • Conduct outreach in local community to help increase brand awareness and local community engagement
  • Responsible for obtaining google reviews form alumni sharing their experiences
  • Ability to create social media content and conduct alumni update videos

Follow up with patients after they discharge

  • Assists with follow-up calls with patients after discharge
  • Connect patients with aftercare referrals as appropriate, in cooperation with regional Business Development Representatives
  • Send out weekly emails, using constant contact, to engage with former patients
  • Document all follow-up calls using Long Jump or other designated CRM software
  • Document all networking and outreach contacts in MS4

Coordinates or assists and attend four to five events per year (Holiday Celebrations, Staff Picnic, Halloween celebration, Alumni Annual Reunions, etc.) as assigned by supervisor.

  • Develop event content in cooperation with staff
  • Extend needed speaker invitations & handle honorarium, travel arrangements & lodging
  • Book entertainment & organize off-site activities
  • Manage guest lists
  • Create & send invitations
  • Coordinate travel and lodging for guests
  • Plan menus & hire caterers
  • Purchase and organize thank-you gifts
  • Follow-up with attendees
  • Assists the Clinical team as needed: educational groups, alumni aftercare groups, interventions and education for high risk patients
  • Other duties as needed

Knowledge, Skills and Abilities

  • Demonstrates professional behavior and interpersonal skills reflective of Michael's House mission statement and philosophy.
  • Knowledge of the addiction recovery community, mental health treatment and the 12-Step tradition is essential.
  • Excellent organizational skills with ability to prioritize workload.
  • Sound judgment and ability to make wise decisions on behalf of the program and company.
  • Motivated self-starter capable of working independently without close supervision.
  • Responsible financial management; acts as a good steward of allocated budget resources.
  • Ability to build relationships with diverse individuals and groups.
  • Dedicated advocate willing to speak out on behalf of the program's goals and needs.
  • Excellent verbal and written communication skills required.
  • Ability to inspire confidence in the Michael's House Staff and the Michael's House Model of Treatment.
  • Must have strong presentation/speaking skills with experience addressing both small and large audiences.
  • Excellent marketing skills with understanding of metrics and mechanics.
  • Ability to adapt to changes in staff and work setting.
  • Knowledgeable of Patient Rights; treats all patients with dignity and respect in a consistent, courteous manner.
  • Understands need for and maintains appropriate confidentiality at all times when interacting with alumni, families, and all other contacts.
  • Proficiency in MS Office, including database management in Excel and Access.

Education and Experience

  • Experience in addiction or psychiatric treatment field highly preferred.
  • Event planning and hospitality experience preferred
  • Additional experience with communications including writing, editing and design.
