Position Highlights The Administrative Support Assistant provides general administrative functions and assistance, which may include communicating with internal and external stakeholders, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, coordinating calendars, composing correspondence and other documents, and assisting the business staff as needed.

Duties & Responsibilities

The Administrative Support Assistant I will be responsible for working at the front desk in the Cochise County office and interfacing with the public by answering phone calls, greeting visitors, monitoring and redirecting incoming emails, and ensuring that public areas are welcoming and that public information is displayed.

  • Screen telephone calls and visitors referring them to the appropriate office faculty and staff.
  • Sort and distribute mail to faculty and staff.
  • Maintain office calendars
  • Arrange for facilities and services to conduct conferences, workshops, or meetings as directed by the faculty and staff.
  • Assists with conference/workshop registration and setup.
  • Monitor and order office supplies.
  • Maintain office bulletin board, document holders, and general office appearance.
  • Troubleshoot technical difficulties with office equipment and computers in consultation with appropriate IT and other technical consultants. Be willing to learn and/or attend trainings on software programs as needed.

Administrative:

  • Record minutes at meetings and process written reports for distribution.
  • Printing and distributing reports, correspondence, technical documents, forms, and fliers.
  • Maintains existing spreadsheets, and inputs data to update the databases.
  • Prepare administrative forms and enter online functions such as p-card, travel, and reimbursements; working with the Business Manager to finalize processing.
  • Support Agent programs and events.

Knowledge, Skills, and Abilities

  • Effective communication, both oral and written, with faculty, staff, and colleagues is critical to meet the needs of the department.
  • Knowledge of Microsoft Office tools (Word, PowerPoint, Excel, etc.) and Adobe (Acrobat, Express, etc.).
  • Skilled at maintaining flexibility and adapting creatively to meet program requirements when met with barriers.
  • Capable of working semi-independently and taking initiative to move forward with administrative duties.
Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience may be required.
  • Must have a valid driver's license and ability to drive according to the University Fleet Safety Policy.
