Job Purpose:

Position responsibilities include performing general accounts payable and recordkeeping duties to ensure timely and accurate payments to vendors. Will provide excellent customer service to internal and external customers. Must exhibit proficient knowledge of commonly-used concepts, practices, and procedures within the payables role. As directed by management, safeguards the company's assets, strengthens financial controls and identifies and eliminates deficiencies and inefficiencies within department operations.

Job Duties:

  • Reviews and inputs new vendors into the accounts payable system in accordance with current procedures/compliance/etc. and receiving the proper documentation from the vendor.
  • Review incoming invoices, expense reports, and check requests for approval and/or coding requirements.
  • Review expense reports against company policy and process, returning to associates as needed with comprehensive explanations of the necessary corrections, and monitoring corrections for timely responses.
  • Determine the appropriate coding and approvals necessary; compare recommendation from approver against the corporate expense policy, including reviewing for capitalization or prepaid requirements.
  • Ensure that sales/use tax is properly recorded when applicable.
  • Data entry of payable invoices, expense reports, check requests, etc.
  • Process timely and accurate payments within turnaround standards, taking advantage of discounts and preventing finance charges.
  • Provide prompt, accurate responses to inquiries by internal and external customers/vendors.
  • Responsible for document scanning.
  • Update department procedures as needed.
  • Communicate job related information and problems to team and/or supervisor.
  • Assist in the 1099 reporting and maintenance process.
  • Attend internal/external training as required to maintain and expand knowledge in accounts payable and related best practice, laws and regulations.
  • Acts as back up to department functions as needed.
  • Will perform special projects as assigned.

Education, Experience and Job Skills:

  • Associates degree or equivalent experience required.
  • 2-4 years in accounting or accounts payable related experience.
  • Ability to use analytical skills in evaluating, prioritizing, and categorizing data in various forms and formats.
  • Understanding of basic accounting procedures and terminology with particular emphasis on accounts payable.
  • Ability to navigate AP software (Avidascend or Coupa experience preferred.)
  • Must have strong work ethic.
  • Ability to work independently, under pressure of deadlines, high volume, and multiple responsibilities.
  • Efficient time management skills.
  • Mathematical ability to accurately perform calculations and analysis used in basic accounting.
  • Excellent computer skills.
  • Excellent written and verbal communication skills.
  • Ability to work in a team environment which includes coaching of co-workers and peers.
  • Team player.

Basic Qualifications:

  • Associate's degree or equivalent work experience.
  • 2-4 years accounting or accounts payable related experience.
