- Ability to work under minimal supervision to analyze, organize, and prioritize scheduling requests while meeting multiple deadlines.
- Ability to process and handle confidential information with discretion.
- Ability to exercise sound judgment in making critical decisions.
- Ability to communicate effectively both orally and in writing.
- Ability to handle difficult and stressful situations with professional composure.
- Ability to maintain effective interpersonal relationships and embrace the culture of care.
- Ability to use standard office equipment such as printers, copiers, faxes, as well as relevant computer software.
- Critical thinking and problem-solving skills, including recognizing, analyzing, and solving a variety of problems.
- Strong organizational skills, time-management skills, and analytical abilities.
- Ability to review work for accuracy.
- Ability to work evenings, nights, and weekends, as necessary
Mandatory skills/certification(s) Requirement:
- Significant senior-level administrative and scheduling experience.
- Well organized and keen attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office and other relevant software.
Role & Responsibilities:
- Manages the President's schedule and calendar, including details documented for each appointment as well as providing the President with background information, bios on attendees and supporting materials in preparation for meetings, speaking engagements, conferences, galas, and interviews.
- Takes action to make adjustments to the President's schedule when conflicting priorities occur and notifies all parties.
- Uses independent judgment and consults with the President as needed to prioritize meeting requests, make appropriate referrals to other College offices and beyond, and resolve scheduling conflicts.
- Ensures details for travel are documented on President's calendar and all supporting travel materials are completed including itinerary, tickets, passports, weather reports, descriptions of airports, rental car pick up or taxi stand information, hotel destinations, room locations, and bios on attendees at specific meetings.
- Understand President's needs and preferences with the above.
