Essential Job Duties
This department supports students through all stages of their NC State journey. Exploration events, pre-college programs, and individual visits are a few of the opportunities that the department provides for prospective students and their families to learn more about the College. Current students receive support from the exceptional department staff through academic advising, career services, scholarships, student engagement, and peer tutoring.
The department Program Coordinator will be responsible for:

  • Managing all the department budgets to ensure alignment with the College's strategic plans and goals.
  • Monitoring and overseeing all fiscal processes in the department, ensuring compliance with College and University regulations.
  • Serving as the college scheduling officer, collaborating with undergraduate directors to manage teaching schedules, including distance education courses, and room assignments.
  • Coordinating the planning of two college graduation ceremonies, including, but not limited to, publishing of ceremony programs, arranging catering and other vendors, and communicating with students and families.
  • Providing travel planning assistance for the Associate Dean for Programs and Faculty Excellence and the department staff.
  • Managing all purchasing for the department.
  • Supervising student assistants.
  • Assisting with the department's event planning.
  • Assisting the department staff with administrative duties.
  • Serving as the department office manager.
  • Scheduling volunteer opportunities for the department staff.

Work Schedule Monday - Friday, 8am - 5pm (40 hours)

Minimum Experience/Education

  • Minimum of 2 years of experience in administrative support, budget management, event coordination, or a related field.
  • Experience in customer service, fiscal oversight, and office management.
  • Demonstrated proficiency with Microsoft Office Suite (Word & Excel), Google Drive, and Zoom

Department Required Skills

  • Experience in customer service, event planning, and database entry.
  • Effective written and verbal communication skills with close attention to detail
  • Demonstrated ability to work independently with strong organizational and analytic problem-solving capabilities under the pressure of multiple priorities in a fast-paced environment
  • Ability to interpret, effectively communicate and apply policies and procedures ensuring confidentiality.
  • Demonstrated proficiency using Microsoft Office (Word & Excel), Google Drive, and Zoom.


Preferred Years Experience, Skills, Training, Education

  • Highly prefer experience in working with NC State's Wolfpack Financial System, P-Card reconciliation process and purchasing process.
  • Previous experience with working within an academic unit or college at NC State
