Who We Seek
You are a compassionate, dynamic, and organized contributor who desires to help our DFPS team members succeed. You will support the Doctor Franklin Perkins School staff (and therefore our amazing students and their caregivers) by welcoming visitors, ensuring the office runs smoothly, and problem solving to ensure emerging issues are handled in a timely, professional, and empathetic manner. You are responsible for managing the daily happenings in the office including phone calls, school visitors and appointments, record keeping, and collaboration with various departments across RFK Community Alliance.
Who You Are
The School Office Manager is often the first point of contact for many potential families, local districts, and referral sources, both via email and phone and upon their arrival to campus. Responsible for overseeing the daily operations of the DFPS office, this individual ensures a smooth and efficient administrative workflow by coordinating communication, supporting school staff, and serving on our leadership team.
Who We Are
The Doctor Franklin Perkins School (DFPS) provides a 12-month academic program for students in Grades K-12 and beyond through age 21. We proudly serve students with significant social, emotional, and behavioral disabilities using a trauma-responsive approach that enables them to become connected, capable, and healthy.
Essential Functions:
- Office Management:
- Ensure the office environment is welcoming and organized
- Supervise and coordinate the office tasks and activities
- Maintain office supply inventory and place orders as needed
- Problem solve and ensure new issues that arise are handled in a professional, timely manner
- Administrative Support:
- Assist leadership team with scheduling, organizing annual events, other administrative tasks
- Review and distribute school communication, including newsletters, announcements, etc.
- Spearhead emergency procedures, maintaining documentation on completed drills
- Ensure confidentiality with confidential student information
- Communication:
- Serve as a primary point of contact for caregivers, referral sources who call the school number
- Handle inquiries and provide information about school policies and procedures
- Coordinate and schedule meetings and events
- Financial Management:
- Assist with budget monitoring
- Process invoices, purchase orders, and reimbursements
- Maintain accurate records and reports as directed
- Compliance and Reporting:
- Ensure compliance with agency policies and local and state regulations
- Follow various workflows to ensure student databases are updated and accurate
- Enter annual training requirements in agency's online system
- Maintain caregiver information in applications that include On Call and Constant Contact
- Prepare and submit required reports and documentation
- Participate in performance quality improvement efforts that include timely, accurate completion of workflows and documentation measures outlined in the agency PQI plan/divisional goal plans
And all other related duties/special projects as assigned by the divisional Vice President/Associate Vice President.
Requirements:
- Associate's degree required. Bachelor's degree preferred.
- A minimum of three years of related experience
- Excellent interpersonal, communication, organizational, and computer skills
- Strong organizational and multitasking abilities
- Proficiency in office software (e.g., Microsoft Office Suite, information systems, etc.).
- Ability to handle sensitive information with discretion

$2,500 Sign-On Incentive
This position is eligible for the RFK Community Alliance Sign-On Incentive in the amount of $2,500 in your first year of employment. You will receive $500 after 3 months; $500 after 6 months; $1,500 after 12 months.
