Job Description

We are looking for an experienced Business Operations Supervisor to work with our Corporate Team. Reporting to Management, the ideal candidate will have a strong background in managing day-to-day operations, including overseeing staff, preventative maintenance scheduling, developing and implementing processes, and ensuring that all operations run smoothly and efficiently. The successful candidate will also be responsible for monitoring performance metrics, identifying areas of improvement, and developing strategies to improve operational efficiency.

Supervisory Responsibilities: main


  • Will supervise 3-4 employees.
  • May assist in training newly hired administrative assistants.


Travel:

  • 10 - 20%- Travel Required (Continental US)
  • Travel expenses (airfare, lodging, meals, etc.) will be covered by RJY Group.


Duties & Responsibilities:

  • This position will support and lead or coordinate Mechanical projects and contracts.
  • Review and validation of maintenance deliverable
  • Schedule and review preventative maintenance schedules
  • Develops assignments, timetables and responsibilities for team members for the duration of the project
  • Organizes and directs personnel and ensures that materials and equipment resources are delivered on time
  • Responsible for quality projects being built on time and within budget
  • Ensure scope changes are processed and incorporated into the current scope of work in a timely manner
  • Reviews various reports to determine project status and determine actions required
  • Provides periodic status and end of contract cost and budget analysis
  • Conducts pre-job planning meetings and documents meeting results, ensures all action items are completed
  • Develops and keeps current all project schedules
  • Ensures all schedules mesh with the master project schedule
  • Establishes and executes subcontracts and equipment buy-outs to support schedules and budgets
  • Communicates all project issues to the appropriate level of management in a timely manner
  • Assembles the estimate for the project and reviews the final estimate and ensures the proper loading of those numbers into the project cost system
  • Manages conflict resolution with customers, vendors, trades or Partners
  • Identifies and develops policies and procedures for continuous aggressive improvement
  • Visits job sites or onsite offices, performs work inspections, checks job progress, and resolves project and contract issues


Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
  • Knowledge of NetSuite a plus.


Education and Experience:

  • Bachelors degree preferred.
  • Three to five years of experience in an operations role.


Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
