With oversight and direction from the Program Director and the Administrative Director, the Program Manager is responsible for the daily operational management of the Internal Medicine Residency Program. The position requires a comprehensive and detailed understanding of ACGME accreditation policies, as well as a high degree of initiative and independent judgment. The Program Manager will continually assess and direct a wide range of programmatic issues including long range planning, recruiting trainees, developing projects, analyzing administrative workflow, maintaining databases, communicating with faculty and residents regarding a range of issues, and managing internal and external program relations. - This opportunity is a full time days position as the Program Manager of our GME Internal Medicine Program
- Regularly meets with the Program Director to discuss office operations, project progress, and identify areas for improvement. Proactively evaluates workflow and cost-effectiveness, offering
actionable recommendations to the Administrative Director to enhance program performance and efficiency. Collaborates with other Program Leaders in the development and implementation of program-level policies. - Provides direct leadership and strategic oversight of the designated program(s) to include: operational, financial, human resources, etc. Collaborates with Program Director and faculty for
education elements of program. - Interprets and ensures compliance with ACGME, national accrediting agencies, and hospital policies. Develops and implements strategies to maintain compliance and mitigate risks while aligning with institutional standards.
- Provides direct managerial support to residents/fellows and serves as the key liaison between residents, hospital administration, and external partners. Establishes and maintains collaborative
relationships with hospitals, clinics, and medical organizations to support resident recruitment, orientation, and external rotations. - Oversees the planning and execution of residency program events such as recruitment, orientation, graduation, and faculty retreats. Leads the organization of program-related meetings and events, ensuring alignment with institutional goals and timelines.
- Ensures residents and trainees are informed of policy and procedure updates in collaboration with the Designated Institutional Official and Program Director. Develops communication strategies to facilitate clear dissemination of policies.
- Works with Program Director and Human Resources to administer coaching, counseling, or corrective action as appropriate.
- Works in close partnership with the medical staff credentialing office to ensure compliance with all licensing, moonlighting, and credentialing procedures for residents and core faculty. Implements systems to track and manage compliance.
- Manages all materials related to specialty-specific trainee exams and oversees exam proctoring, ensuring compliance with institutional guidelines and national standards.
- Manages databases containing resident and faculty data, including New Innovations. Oversees the evaluative processes for trainees, faculty, and program rotations, ensuring data integrity and
timely reporting. - Oversees the development and management of resident call schedules. Provides strategic oversight of resource allocation, including office systems, records, and distribution of materials.
- Manages the residency program's annual budget, evaluating financial needs, and advising the Program Director on expenditures. Oversees the acquisition of equipment and training materials, ensuring cost-effectiveness and alignment with program needs.
- Manages the organization of meetings, conferences, and lectures. Develops and oversees the creation of promotional materials, brochures, and communications related to program events and external engagement.
- In conjunction with the Undergraduate Medical Education Coordinator, manage medical student rotational availability.
- Oversees the creation and maintenance of external program advertising and media, including websites, brochures, and publications. Manages the program's digital presence and ensures consistent branding.
- Manages the ERAS database and oversees all processes during the residency program's recruitment season. Coordinates interviews, ensures timely review of applications, and advises
faculty on applicant evaluations. - Oversees all NRMP responsibilities, ensuring compliance with match procedures. Manages communications with matched residents and facilitates their onboarding process. Assists with quota review, rank list development, and certification in NRMP.
- Manages the verification and tracking of resident status and activities.
- Leads the preparation for ACGME Site Visits and internal reviews, ensuring all documentation and processes are in compliance. Provides strategic support for accreditation efforts.
- Oversees the monitoring of residents' work hours and procedure logs, ensuring compliance with ACGME requirements through regular review of New Innovations reports.
- Manages inquiries from residents and applicants, ensuring timely and appropriate resolution of issues.
- Takes on additional managerial duties as assigned by the Program Director or ADME, contributing to the overall strategic direction and operational success of the residency program.
- May supervise, train and guide new coordinators or administrative assistants within the residency program.

Qualifications
- Bachelor's degree, required
- Minimum of one year experience in a full time academic and/or educational program coordinator role
- In lieu of degree, a minimum of five years' experience in a full time academic and/or educational program coordinator role
