JOB SUMMARY The Logistics Specialist creates import and export documentation in an accurate and timely manner to maximize the flow of all international sales orders and shipments. Coordinates shipments with third party logistics providers, forwarders, carriers and monitors shipment status to customers, foreign suppliers, and partners. JOB DUTIES
- Ensures all documentation is generated accurately and timely.
- Utilizes SAP and computer-based international shipping system to coordinate shipments.
- Works closely with third party logistics providers, international customer service representatives, delivery planners, shipping supervisors, and Operations Warehouse Manager to coordinate the timely shipment of international orders.
- Interfaces daily with freight forwarders and/or small package carriers, customers and Pelican branches and subsidiaries to schedule pickups, troubleshoot and provide order information.
- Ensures all shipments are invoiced on the day of shipment.
- Creates and maintains an organized filing system for all shipping documents.
- Coordinates shipment preparation and transportation of raw materials to foreign suppliers.
- Prepares timely management information and reports as requested. Interfaces daily with international sales department personnel and provides status of international sales orders.
- Files shipper's export declaration (SED) electronically in Automated Export System (AES direct).
- Assists in obtaining Proof of Delivery (POD) when requested by Finance.
- Organizes and prepares all shipping files for contracted records management company.
- Plans, organizes, and executes Import / Export activities for finished products, sub-assemblies, and raw materials with 3PLs, Carriers, Forwarders internationally.
- Tracks and traces shipments from origin to destination by updated key milestone dates and estimated times of arrival (ETA) for all the international shipments.
- Work with Procurement teams to communicate all inbound shipments and identify problems related to logistics and implement new solutions.
- Educate SAP, generating Shipping docs, international shipments process to other departments when its needed.
- Analyzing possible logistics cost saving solutions.
- Performs additional duties as assigned.
MINIMUM QUALIFICATIONS
- Associates Degree in Business, Logistics, or related field, or equivalent experience
- Four (4) years of related experience in logistics
- Knowledge and skill required in import/export documentation requirements and preparation, including, but not limited to, commercial invoices, packing lists, SLI, AES Filing, SED, COO, NAFTA and ISPM15 requirements.
- Ability to display sensitivity to the cultural differences in business relationships in the global arena.
- Very good analytical and organizational skills, detail-oriented and ability to work under minimal supervision.
- Ability to follow verbal and/or written instructions and complete assignments within a specified time frame.
- It is primarily a sedentary office position with the employee working in a small office environment.
- The ability to work under pressure and to deadlines; ability to prioritize and plan effectively.
- Good problem-solving skills and a creative approach for new ideas.
- Good team working skills.
- Must be able to operate in a fast-paced organization and be able to manage multiple projects simultaneously.
- Must be able to interact effectively and cooperatively with employees at all levels.
- Must have the ability to complete assignments within the time frame specified by the Manager.
PREFERRED QUALIFICATIONS
- Six (6) years of related experience
- In-depth knowledge of incoterms and HTS codes
- Experience in air, ocean, or other international transportation methods.
- Experience interfacing with freight forwarders and customs brokers.
- Experience with international logistics and conventional distribution center operations.

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS
- While performing the duties of this job, the employee will be constantly required to execute standard physical activities within the facility areas (i.e. stand, walk, sit, use hands/fingers).
- While performing the duties of this job, the employee will be occasionally required to execute non-standard physical activities within the facility areas (i.e. climb or balance, stoop, kneel, crouch).
- Ability to lift and/or move up to 10 pounds and occasionally lift and/or move up to 40 pounds.
- This position requires repetitive hand/wrist activities.
- Basic skills in math and general office administration, which includes working in an office setting and operation of basic office equipment.
