Performs a full range of standard secretarial and administrative support services for a manager and associated staff.

$3000.00 sign-on bonus!

I. Major Responsibilities:

1. Produces standard correspondence, memos and reports from drafts. Proof reads/edits material for appropriate grammar, spelling and format.
2. Maintains calendars and daily schedules. Schedules appointments and meetings for supervisor. Makes basic travel arrangements.
3. Obtains and provides standard information on behalf of supervisor.
4. Receives phone calls and messages, provides basic information on procedures of the department, refers matters to appropriate person within department.
5. Reviews, checks and processes non routine paperwork associated with departmental functions, such as purchase requisitions, statistical activity/performance reports, work orders, etc.
6. Prepares and processes office administrative paperwork, such as employment requisitions, employee time sheets, expense vouchers, etc.
7. Assists with special projects. Gathers standard documents, files and records, obtains and transposes statistical or financial data from available sources. Prepares reports using established formats.
8. Sets up and maintains office files and records, ensuring efficient retrieval of information.
9. Ensures adequate inventory of office supplies and basic maintenance of office equipment. Coordinates the timely repair of office equipment.
10. Applications software used: Word processing and spreadsheet.
11. Performs miscellaneous clerical duties, including collating, sorting, faxing, filing, and distributing and retrieving documents and mail. Records and relays phone messages, etc.
12. Participates in performance improvement initiatives and demonstrates the use of quality improvement in daily operations.

All responsibilities are essential job functions.

II. Position Qualifications:

License/Certification/Education:

Required:
1. Requires a High School diploma and specialized training to be familiar with office procedures.

Experience/Skills:

Required:
1. 1-2 years of related office/clerical/administrative support experience.
Preferred:

Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.

III. Physical Demands and Environmental Conditions:

Work is considered sedentary. Position requires work indoors in a normal office environment.
