Administrative Assistant for Health and Human Performance

Position Announcement

Provide administrative support to the Health & Human Performance (HHP) department chair, faculty, and staff through outstanding customer service to faculty, staff, students, and the general public. This position oversees HHP department reception and serves as office manager of a rapidly growing department that offers a variety of courses for students on campus, within the new Human Performance Center. Responsibilities

  • Support department chair with all duties, including but not limited to scheduling of courses, tracking budgets and other financial data, placing maintenance requests, and taking minutes at departmental meetings.
  • Support department by assisting instructors with typing, making copies, preparation of course syllabi, etc.
  • Assist in answering phones, receiving messages, and directing students and visitors to the proper areas of campus.
  • Prepare and track department purchase requisitions, reconcile purchasing card statements, coordinate department travel authorizations, travel claims, and travel arrangements, as well as other University forms and processes, as needed.
  • Assist with part-time faculty and staff hiring process, including paperwork gathering, collection, and processing with the Human Resources office.
  • Maintain and oversee inventories of equipment and supplies for the department.
  • Assist faculty with book orders and course materials from publishers and/or through the University's Campus Store.
  • Assist in requesting examination copies for instructors.
  • Assist department faculty and staff with office set up, scheduling of classrooms/conference rooms in Event Management System, and scheduling/catering for departmental events. Assist department faculty and staff with administrative needs as requested.
  • Perform other duties as assigned.

Qualifications

  • High school diploma/GED, with some college coursework and/or a post-secondary certificate, required; Associate's degree preferred.
  • Two years' office experience required; experience working in higher education preferred.
  • Must be well-organized, flexible, and enjoy the administrative challenges of working with a number of courses/programs, as well as being attentive to detail.
  • Ability to interact with staff and students at all levels, while in a fast-paced environment, remaining proactive and efficient, with a high level of professionalism and confidentiality.
  • Financial record-keeping experience and administrative support staff experience preferred.
  • Strong computer skills in word processing, spreadsheets, desktop publishing, internet, and email.
  • Knowledge of English grammar, punctuation, and correspondence forms.
  • Knowledge of general office practices and procedures, including office machines, inventory, and ordering.

Supplemental Information

POSITION DETAILS, COMPENSATION AND BENEFITS: Full-time non-exempt staff (overtime-eligible) position. Annual salary of $35,200, with a desired start date of May/June 2025.
