Position Summary:

The Professional Training Administrative Assistant, under the general direction of the Director of Clinical Training, is the primary go-to person for all areas of professional training in the Clinical PhD and PsyD Programs. This position works closely with two Associate Directors of Clinical Training, and interfaces directly with students, core and adjunct faculty, and clinical supervisors from several community agencies that provide practicum and internship training to CSPP students.

Starting Salary: $50,000

Minimum Qualifications:

Education: Bachelor's degree from an accredited college or university.

Experience: Two (2) years of experience as an administrative assistant.

Duties & Responsibilities:

  • Practicum Placement Process -compile list of available positions, solicit student application choices, record accepted offers and send contracts.
  • APA Internship Process - collaborate with Associate DCT to obtain hours verification for online internship application (AAPI), record information from Match process, gather evaluations from internship sites.
  • Student/Agency Contracts- prepare, distribute, and collect contracts, distribute to faculty liaisons, file competed contracts in students' electronic files.
  • Student Evaluations - Extract and process data from Qualtrics surveys for practicum evaluations, forward evaluations to liaisons for review and assignment of grades.
  • Supervised professional training experience hours tracking - Utilize Time 2 Track to gather information on student supervised professional experience hours, enter practicum site and supervisor information into Time 2 Track to facilitate supervisor approval of hours.
  • Maintain accurate records on Office of Professional Training for faculty and students
  • Communication with students - distribute OPT announcements and updates via email to cohorts of PsyD and PhD students.
  • Grades - Collaborate with DCT, ADCT, and the Registrar's office to ensure grade changes for practicum and internship credit are submitted in a timely manner.
  • Process new agency requests - provide materials to interested agencies and send completed packets to faculty liaison, update the listing when new agencies are approved, and upload information forms to SharePoint.
  • Perform other related tasks, duties, and responsibilities as required, assigned, or directed.

Contact Responsibility:

Internal: Interacts with supervisor to review work plans and/or review of work results. This position interacts with clinical psychology program directors and students on the Alliant International University Los Angeles campus.

External: Practicum and internship training directors

Primary Work Location, Hours & Travel Requirements:

Office Location: Hybrid, two days on campus.

Work Hours: Standard Office Hours
