Job Purpose

This position will provide comprehensive administrative support and be the first point of contact for the Chief Executive Officer (CEO). Must possess exceptional communication, multi-tasking and organization skills, ensuring CEO's schedules, priorities and day-to-day operations are managed efficiently. This is a high visibility role that demands discretion, confidentiality and proactive approach to handling a wide range of executive duties.

Job Duties

  • Will be first point of contact for Chief Executive Officer. Will manage and maintain CEO's calendar, ensuring effective time management and prioritization of appointments, meetings and travel arrangements.
  • Act as primary point of contact between CEO and internal/external stakeholders.
  • Will have access to confidential information. Protects the privacy and confidentiality of the company and its customers, employees, and work.
  • Will serve as a liaison for CEO through regular interaction with other members of Senior and Executive Management team, line of business managers, employees, vendors and colleagues.
  • Will be responsible for complex administrative services with a high degree of attention to detail such as drafting communications and reports; coordinating board meeting materials, preparing a wide variety of correspondence, policies, records, etc. in final form; establish and maintain records and files.
  • Coordinate logistics for executive meetings, board meetings, etc. including recording of minutes, agendas, presentations and follow-up items. Assisting board members with schedules and travel arrangements as needed.
  • Will have the ability to problem solve, which includes the understanding of situations and researching information to resolve issues either by working independently or by effectively leveraging a well-developed network throughout the Bank.
  • Will maintain a thorough understanding of Bank policies, practices and operations, as well as the corporate goals, objectives and overall strategic plan of the organization.
  • Track key deliverables and deadlines, ensuring the CEO is informed of progress or issues relative to priority initiatives.
  • Will be responsible for the preparation and set-up of meetings for Executive Management Team. Ensure all details are meticulously planned, including room set up, catering, equipment, attendee coordination and follow up as requested.
  • Screen and prioritize incoming calls, emails and correspondence on behalf of the CEO.
  • Will greet visitors, anticipate schedules and make introductions while handling a variety of complex and confidential situations with diplomacy and discretion.
  • Will assist in the management of the Robert Evans Conference Center and/or any other assigned meeting spaces.
  • Will be responsible for special projects as assigned.

Education, Experience and Job Skills

  • Bachelor's Degree in Business Administration, Finance or related field or equivalent work experience required.
  • Minimum 5 years of experience as an executive assistant preferred.
  • Experience working in a banking environment preferred.
  • Exceptional organizational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Superior written and verbal communication skills, with a keen attention to detail.
  • High level of professionalism, discretion and an ability to maintain confidentiality.
  • Proficient with Microsoft Office Site (Word, Excel, Powerpoint and Outlook) and other office management software.
  • Strong interpersonal skills with the ability to work well with individuals at all levels in the organization and with external stakeholders.
  • Ability to adapt to changing priorities, clear obstacles and drive results.
  • Customer service focused.
  • Efficient organizational and time management skills.
  • Some travel required.

Basic Qualifications:

  • Bachelor's Degree in Business Administration, Finance or related field or equivalent work experience required.
  • Minimum of 5 years of experience working in a professional environment,
