Legal Assistant

JOB SUMMARY

Under minimal supervision, the Legal Asssitant will perform a wide range of administrative and operational support activities to aid the North America Legal and Compliance Team. This role requires regular on-site presence from Monday through Thursday, as well as most Fridays.

ESSENTIAL DUTIES

Administrative and Operational Support of North America Legal and Compliance Team:



  • Draft correspondence and edit content; prepare presentation materials using MS PowerPoint.
  • Coordinate travel arrangements for attorneys and staff, ensuring all logistics are efficiently managed.
  • Manage expenses for leaders, maintaining accurate records and submitting timely reports.
  • Order catering for meetings and events, and assisting with setting up audio-visual equipment.
  • Identify process improvements; assist in planning and implementing new procedures.
  • Track key deliverables across the team; follow up on unresolved items.
  • Exercise discretion with confidential matters; coordinate logistics for department meetings.
  • Oversee onboarding of vendors/law firms; process invoices accordingly.
  • Manage incoming mail distribution; order office supplies as needed.
  • Assist with onboarding new NA Legal and Compliance team members.
  • Organize, file, and retrieve legal documents and case files efficiently.
  • Order and maintain an inventory of office equipment and supplies to ensure smooth operations.
  • Assist in managing calendars, including scheduling meetings, court dates, and client appointments.
  • Draft and proofread emails, letters, and other communications as needed.
  • Serve as in office point of contact to ensure effective communication and coordination.



Contract Life Cycle Management:



  • Manage intake of requests for legal reviews of contracts and other inquiries, ensuring all necessary information is collected.
  • Ensure accurate entry and maintenance of contracts in our management system.
  • Prepare basic template-based agreements like NDAs.
  • Track contract lifecycles for compliance; facilitate communication among stakeholders.
  • Distribute executed agreements to requestors and relevant departments.



Corporate Housekeeping:



  • Supporting routine corporate housekeeping matters relating to the company's North America legal entities, including preparation and filing of annual reports, assisting with organizing board meetings and other tasks as may be requested.
  • Preparing visa application letters and second passport letters upon request.
  • Liaising with other functions for data collection and reporting.



OTHER DUTIES AND RESPONSIBILITIES



  • Perform general reception duties occasionally, including receiving incoming calls and greeting visitors to the department or area.
  • Participate in or manage the preparation and completion of special projects as needed.



MINIMUM QUALIFICATION REQUIREMENTS

Education

Bachelor's degree, or equivalent of education and experience sufficient to successfully perform the essential functions of the job may be considered.

Experience

Minimum 5 years experience in a law firm or in a company supporting an in-house legal team.

Skills



  • Broad-based understanding and proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with operational systems and data languages such as Power BI, SAP, or similar tools would be beneficial.
  • Ability to effectively manage complexity.
  • Demonstrated ability to communicate effectively both verbally and in writing in English.
  • Excellent interpersonal skills that foster a service/team-oriented environment.
  • Proven ability to maintain confidentiality, demonstrating diplomacy, tact, flexibility, and a positive approach.
  • Demonstrated problem-solving skills with creativity in finding solutions to new issues and exploring alternatives.
  • Understanding of legal terminology and documentation
  • Excellent organizational and multitasking abilities
  • Attention to detail and accuracy in handling sensitive information
  • Strong research skills and familiarity with legal databases

PHYSICAL REQUIREMENTS

Typical Office Environment requirements include: reading, speaking, hearing, close vision, traverse, bending, sitting, and occasional lifting up to 20 pounds.

Additional Physical Requirements

Regularly scheduled working hours and in office presenence at the Lakewood, CO headquarters 4+ days a week.

Target Pay Range:$30.00to$38.00- Hourly pay rateto be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data

Target Bonus on Base:7.0%
