Payroll accountant is responsible for tasks including month-end close process, monthly/quarterly financial reporting and analysis, budget preparation, forecasts, and long-range plans that support the business' overall financial objectives. Position requires initiative with the ability to work under tight deadlines and have an elevated level of expertise in accounting and financial analysis; and demands regular interactions with all levels of the organization, especially human resources, operations, business development, compliance, and IT departments.
In this role, the ideal candidate will:
- Perform general ledger activities including monthly close activities and preparation of timely and accurate monthly financial statements and supporting schedules.
- Prepare month-end accruals and analyze financial results.
- Prepare monthly Balance Sheet account reconciliations and reconcile subsidiary ledgers to the GL.
- Perform account research and analyses to determine trends, estimates, and significant changes.
- Review, investigate, and correct errors and inconsistencies in financial entries, documents, and reports.
- Identify, research, and assist in the resolution and implementation of moderately complex accounting projects.
- Prepare audit schedules as required.
- Ensure that internal and external customers are provided with timely and accurate assistance.
- Cross-train in other areas of the accounting department.
- Work on special projects and prepare ad hoc reports and analysis as needed.
- Perform other duties as assigned by management.
Payroll Duties:
- Receive and audit bi-weekly timecards from all departments.
- Review and audit HR (Human Resources) payroll entries and load these changes to Costpoint.
- Enters and process off-cycle employee payments like bonus and anniversary payment, and retirement plan election changes into ADP and CostPoint.
- Process payroll information for 403B transfer.
- Ensures accurate preparation and balancing of bi-weekly and special payroll, payroll balance sheet and summaries. Audit the return payroll for accuracy.
- Report timely and accurate distribution of payroll checks and accountable for unclaimed checks; handles various payroll adjustments, shortages, garnishments, manual checks, and computation of gross and net pay, vacation pay, bonuses, etc. after verifying with CFO.
- Prepares and distributes bi-weekly status report of employees' vacation/sick leave accruals to Director/Managers.
- Process sick buy back report for CFO/Chief Human Resources Officer (CHRO) or Designee.
- Process annual payroll increase reports for CHRO or Designee in Cost Point.
- Maintains payroll files and records, and other pertinent payroll reports or related information.
- Audits and distributes W-2's to employees.
- Calculates example checks for employees wanting to see taxes calculated different ways.
- Prepare all garnishment check request. Track garnishments/requests/close-outs with employees and court ordered agencies.
- Regularly checks payroll mailbox and responds to all employee inquiries regarding payroll checks and regarding PTO (Paid Time Off) accruals.
- Trains new employees on Deltek Time Collection time sheets.
- Collaborates with HR to ensure accurate FMLA (Family and Medical Leave Act) tracking in Deltek.
- Assist with ad-hoc payroll reports as needed by CFO/HR

- Must be able to travel as needed driving and/or going on airplane to customer locations or meetings.
Education, experience and training required and preferred for the position are below:
Required:
- Bachelor's degree in accounting required
- 5+ years of accounting experience, competent in accounting and financial practices and procedures
- 1+ years of planning and financial analysis and prior experience administering payroll.
- Proven ability to meet tight deadlines.
- Proven ability to deliver high levels of customer service at varying levels of the organization.
- Advanced proficiency in MS Office Suite, with a high-level of proficiency in MS Word and Excel including analysis and the creation of spreadsheets, reports, pivot tables and v-lookup
- Certified Public Accountant (CPA) is a plus.
Preferred:
- Experience with Costpoint and/or other project-based GL systems
- Experience in Microsoft Access, SQL, or other database/query reporting
