Location: Alsip, IL

Summary: The Reception Admin is the first person an employee, customer, vendor, or visitor sees or talks to when arriving at or calling Griffith Foods. The Reception Admin is pleasant, has good listening skills and can provide the correct information when asked. They also must be able to route calls to the correct person, enter or check a visitor in for an appointment and give directions when necessary. The Reception Admin works in a team environment at the front main reception & office/mailroom area Monday-Friday, 7:30am - 4:00pm and ensures 100% visitor satisfaction is consistently provided. They will support the Administrator Manager to assist in clerical, administrative work, mailroom operations, day-to-day third-party vendors, facility work orders to completion, and special projects for all GFUS departments; assist in maintaining a nut free environment and enforcing the front main entrance Safety & COVID-19 protocols.

Essential Duties & Responsibilities:




  • Answer multi-line incoming calls, screens and directs incoming calls to Griffith Foods employees.
  • Greet customers and visitors to the office with warmth and professionalism.
  • Maintain safety and security for the building by ensuring the visitor is logged in properly in the Sign In Visitor System including signing the electronic Confidentiality Agreement and other safety related agreements and assigning the visitor a system generated visitor badge.
  • Contact Security and the emergency departments in case of emergencies or suspicious behavior including suspicious packages.
  • Ensure visitors do not bring any items containing nuts into the building.
  • Enforce and ensure the front main entrance protocols are being properly followed by employees and visitors.
  • Contact and notify the appropriate Griffith Foods employee of visitor arrivals.
  • Keep track of the people arriving for visitor appointments and when they leave the building.
  • Answer incoming calls to Griffith Foods Inc. and respond appropriately in a professional, pleasant, and helpful manner.
  • Perform paging requests within the Alsip facility.
  • Update the welcome board based on Griffith Food employee requests.
  • Direct employment application requests to the Griffith Food website
  • Contact security in the event of a 911 emergency call to facilitate emergency services direction upon arrival.


  • Use the intercom paging system to communicate announcements to employees.
  • Assist with administrative tasks and clerical work for the GFUS business.
  • Sort and open mail and packages for departments.
  • Use the postal office machine and UPS online system to mail letters and packages.
  • Submit invoices to AP for monthly reoccurring invoices.
  • Provide internal customer service to employees for facility-related work orders.
  • Update housekeeping day porter on specific office cleaning requests.
  • Assist the Administrator Manager with administrative duties and special projects.
  • Perform other administrative responsibilities as directed by the Administrator Manager including but not limited to:




    • Filing & Scanning
    • Orders & maintains office supplies as needed.
    • Print e-mails and invoices.
    • Alphabetize and sort documents.
    • Expense reports
    • Assist with Admin Manager with presentations.
    • Assist with onsite and offsite meetings.
    • Document destruction services and document offsite storage.
    • Assist with small breakroom food supplies.
    • Contribute to the Admin Team portal and MS Teams sites.




  • Communicate effectively with department regarding the daily administrative tasks.
  • Provide back-up for the GFUS Admin team members.



Qualifications:




  • High School Diploma and 1+ years related experience.
  • Computer skills such as basic-level Microsoft office skills preferred, including Outlook email.


  • Customer service-oriented focus.


  • Communicate professionally and effectively with employees, customers and vendors .
  • Professional verbal and written communication skills.
  • Professional personal appearance.
  • Maintain confidentiality.
  • Ability to work in a fast-paced and evolving environment.
