The Manager, Guest Services ensures an exceptional front of office experience for every visitor to Paul Hastings. An additional focus of this role includes the planning and execution of local office meetings and events through effective project management. This highly client-facing role requires an engaging, cheerful, helpful, resourceful, and confident demeanor while ensuring the quality and efficiency of the lobby and reception area, and in producing high caliber internal office events. Overall, this position continuously offers the highest level of service to all clients, visitors, and Paul Hastings employees, maintaining a professional image and providing prompt, courteous, and efficient service, and support. In this capacity, the Manager, Guest Services will:
- Provides 5-star customer service to clients, visitors, and internal PH personnel in all forms of communication;
- Professionally greets and welcomes all visitors and PH personnel entering the office;
- Receives and catalogs guest information, informs appropriate PH personnel that their guest has arrived, and/or provides escort to reserved meeting rooms;
- Maintains building security by receiving guests and alerting associated client host, coordinating with building security when necessary, and assigning appropriate access to internal work areas if required;
- Collaborates with local Facilities team to investigate issues related to building access cards, turnstile, and traffic flow;
- Fields questions about cloak room and storage, Administrative and Office Services support, and other common inquiries;
- Directs appropriate requests to building maintenance, PH office administration teams or departments;
- Collaborate with management team on the creation and implementation of front of house and event planning best practices, including documentation;
- Collaborates with other team members who support the front of office experience and cross-trains staff and back-up on standard operating procedures and best practices;
- Arranges car/limo services when requested;
- Assists with restaurant recommendations and reservations;
- Provides directions to nearby attractions, restaurants, airports, etc.;
- Ensures efficient management of temporary building key cards and collection;
- Requests maintenance service when required;
- Ensures reception area is always clean, pleasant, and comfortable;
- Directs package deliveries to PH designated receiving area;
- Builds professional relationships with customers and other teams;
- Maintains professionalism and composure when interacting with all visitors and personnel; and
- Determines what additional support is needed when handling sensitive inquiries.
Proficiencies:
- Excellent organizational and time management skills;
- Superb written and verbal communication skills;
- Analytical abilities and aptitude in problem-solving; and
- Current knowledge or ability to learn computer-based systems required for functions of position.
Qualifications:
- College degree (required);
- 4+ years prior work experience in a similar role; and
- Present overall professional appearance and attitude always.

The salary wage range that we expect to pay for this position is a minimum of $100,900 and a maximum of $131,100 annually. The actual pay wage may vary based on experience or other relevant factors.
