Salary Range: $62,000 - $92,000 base / $68,820 - $106,720 total cash compensation

What You'll Do

As an Office Administrator at Propeller, you'll be more than just the backbone of daily operations-you'll be a strategic partner to the Managing Director and a vital connector across the Portland office. In this role, you'll combine executive support, operational leadership, and event coordination to ensure the office runs smoothly while supporting high-impact initiatives that drive organizational effectiveness. This full-time position is based in Portland, Oregon and reports to the Portland Managing Director

Provide Executive Support




  • Act as a strategic thought partner to the Managing Director, assisting with priority setting, decision-making, and alignment on key initiatives.



  • Anticipate leadership needs, proactively identifying opportunities to improve efficiency, communication, and organizational effectiveness.



  • Manage cross-functional projects, ensuring coordination across teams, tracking progress, and driving accountability for key deliverables.



  • Develop and prepare materials for leadership meetings, including dashboards, presentations, and strategic briefings.



  • Serve as a communication bridge between the leadership team and broader organization, ensuring clarity, transparency, and timely information flow.



  • Support the Managing Director's business development, recruiting efforts, and internal commitments.




Facilitate Administrative Logistics




  • Manage the Managing Director's calendar, scheduling interviews and coordinating meetings to ensure smooth logistics and effective communication.



  • Oversee travel arrangements, including flights, accommodations, and transportation logistics.



  • Assist with time and expense approvals, ensuring accurate and efficient processing.




Lead Office Operations & Enhance Workplace Experience




  • Being the Portland Office go-to - maintain a professional, welcoming office environment that supports individual and team productivity.



  • Oversee all-things-office, including maintaining vendor relationships, ensuring smooth day-to-day operations.



  • Manage office budgets, focusing on cost-effectiveness and quality.



  • Support candidate experience during interviews, providing a hospitable environment for applicants and onboarding new employees, helping them feel welcomed into the Propeller community.




Plan & Execute Engaging Events




  • Organize and coordinate internal and external events, including monthly meetings, offsite retreats, and holiday celebrations.



  • Collaborate with stakeholders to define event objectives, budgets, and logistics.



  • Manage event services such as catering, IT support, transportation, and vendor relations.



  • Be present at all events, overseeing setup, execution, and breakdown to ensure seamless experiences.



  • Monitor event budgets, process vendor payments, and provide post-event summaries and recommendations.

Must have:




  • 3 - 5 years of relevant experience in a corporate environment



  • Advanced skills and experience in Microsoft Office Suite and Zoom



  • Willingness to lean-in and support all aspects of the business



  • Ability to take direction and coordinate with multiple leaders simultaneously



  • Comfort shifting between responsibilities and tasks with strong prioritization skills



  • A focus on people with a sense of humor and love of collaboration



  • Availability to work Monday - Friday, 9AM - 5PM (additional time required to accommodate events schedule)



  • Ability to demonstrate a legal right to work in the U.S.




Nice to have:



  • Experience in event planning/office engagement

  • Experience in a professional services firm



  • Bachelor's degree




More About This Opportunity

Compensation: We believe in fairly and equitably compensating our employees for their time, skills, and experience. The base salary for this position ranges from $62,000 to $92,000. Total cash compensation, including short- and long-term incentive pay, falls between $$68,820 - $106,720. Individual salaries are determined by factors such as experience, specific skill sets, and internal pay equity. While hiring at the top of the range is not typical to allow for future salary growth, our base pay ranges are reviewed and updated annually based on performance. Our compensation plan also includes a generous benefits package, which you can learn more abouthere.

Location: We believe being physically present with each other and our clients strengthens our relationships, promotes creativity and innovation, and ultimately produces a stronger, more durable result for our clients and ourselves. This role requires being in the office 3 - 4 days per week.
