We are hiring for a Merchandising Team Coordinator, who is part of the team responsible for the tracking, billing and collecting of retail product agreements, contracts, and promotional invoices, payments and receivables for the Merchandising team serving over 400 convenience stores located throughout New England, New York, Virginia and Texas.

This position will work with the Merchandising department, along with our vendor partners and other internal teams to ensure comprehensive and accurate billing and reconciliation of our contractual agreements.

"Gauges" of Responsibility

Vendor Portal Support

  • Support internal team with Retail Vendor management including setup of new vendors to work with Merchandising, Accounting, Marketing and other internal teams
  • Onboarding vendor and supplying training to all vendors to utilize retail portal for promotion entry and billing
  • Retail Portal management - keeping user access current, updating vendors, adding new vendors, deleting discontinued vendors

Promotion Support

  • Assists in Retail Portal promotion information and submission of details for both the CMM team and vendor community
  • Assists with the tracking and documentation of all promotional requirements
  • Manages promotional calendar and sends updates/reminders

Payment Reconciliation

  • Tracking reconciliation of rebates and all vendor funding vs payments received, working with accounting as needed
  • Create and maintain and distribute aging report of overdue invoices internally to leadership, Category Managers and externally to vendors
  • Follow up on overdue payments with vendors, get commitment for payment, escalate as needed

Other

  • Document and share process and technical improvements, help define steps for improvements, QC and supply feedback
  • Provide support for the varied requirements for the CMM team Merchandise Planning & Analytics
  • General team support such as planning and attending meetings, organizing team events and activities.
  • Familiarity with BI tools such as Tableau and PowerBI
  • Ability to use MS Office applications such as Word, Excel, PowerPoint & Teams
  • Strong written and verbal communication skills
  • Self-motivated and able to function well in an ambiguous environment where functional direction at time may be undetermined

Qualifications

  • 5 + years of previous work experience
  • Advanced Excel Skills, MS Word, & Outlook
  • Proficient using Tableau to pull reports
  • Ability to effectively communicate, including written and oral, and develop effective working relationships across multiple levels of the organization
  • Mature, professional attitude, accustomed to client service environments
  • Ability to communicate and cultivate effective working relationships across multiple levels of an organization
