The Administrative Assistant provides essential support to the "Get Work"
side of the business, helping ensure smooth and efficient operations across
business development, marketing, and preconstruction functions. This role is
responsible for a variety of administrative tasks that contribute to
maintaining organized systems, facilitating client engagement, and supporting
internal teams in pursuit efforts. The ideal candidate is detail-oriented,
proactive, and comfortable working in a fast-paced, team-oriented environment.
Essential Duties & Responsibilities
- Maintain licenses and registrations across procurement sites,
including proactively managing renewals and ensuring compliance - Input and manage data in the Client Relationship
Management (CRM) system, Dynamics, and generate reports as needed - Provide support to the Client Care program in
partnership with internal team members and a third-party vendor, including
tracking and reporting on engagement metrics - Create and maintain a standardized file structure within SharePoint
for all new pursuits and projects, ensuring consistent documentation - Request bid bonds and insurance documentation required
for project pursuits, following detailed standard operating procedures - Collaborate with internal and
external key stakeholders - including trade partners, clients, and vendors,
to coordinate logistics for onsite and offsite events - Coordinate University of Maryland (UMD) tailgate events including
catering and supply purchasing - Oversee the distribution and tracking of company
sports tickets - Organize and manage travel arrangements, including flights,
accommodations, ground transportation, and site logistics - Serve as a backup for the receptionist, executive assistant, and assist
with other office-related tasks as needed - Ensure all
interactions and communications reflect a professional image of the company - Handle special
projects and tasks as assigned to support various initiatives and goals - Maintain
confidentiality and handle sensitive information with a high degree of
integrity and discretion
Knowledge, Experience, and Special Skills Required
- One (1) to three (3) years in an administrative assistant or
administrative support role. - High school diploma or equivalent; associate or bachelor's degree in
business administration or a related field is a plus. - Exceptional organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook);
experience with Procore and Bluebeam is a plus. - Strong attention to detail and ability to multitask.
Job Demands
May be exposed to heavy machinery/equipment, hazardous chemicals and
extreme weather conditions. A minimum of 40 hours per week is required. Works hours will vary depending on project
specifications, and may involve overtime, weekends and night work.
