We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to the CEO, CFO, and CMO. The ideal candidate will be an analytical thinker with excellent communication skills and the ability to manage multiple priorities and in a fast-paced environment. This candidate will actively liaise between the Executives, other key Executives within the organization, Board members and employees. This role requires discretion, professionalism, and the ability to handle confidential information with integrity.

Essential Job Functions:

  • Provide comprehensive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Act as a liaison between Executives, Board Members, and internal/external stakeholders, ensuring clear communication and follow-ups.
  • Organize and prioritize emails, calls, and requests, responding on behalf of executives when appropriate.
  • Plan and coordinate high-level meetings and events, locally and internationally.
  • Conduct research and compile data to support decision-making processes.
  • Manage special projects and initiatives as assigned by the Executive team.
  • Handle confidential information with discretion and professionalism.
  • Support budget tracking, expense reporting, and invoice processing.
  • Assist in maintaining and improving organizational processes and efficiencies.

Job Qualifications:

  • Bachelor's degree in Business Administration, Communications, or a related field preferred, but not required if applicable experience.
  • Minimum of 5 years of experience supporting C-level executives in a multi-national corporate environment with a total of 10-15 years of administrative experience.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Project Management experience.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the high level of customer/client service and response.
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and other productivity tools. Microsoft Project Software experience, a plus.
  • Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
  • Strong problem-solving skills and attention to detail.
  • Professional demeanor and ability to work with high-level stakeholders.
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Enjoys collaborating with a variety of personality and work styles.
  • Flexibility to work outside standard office hours when necessary.
