Position Overview

The Meeting and Event Partner (known internally as Commercial Services Meeting and Event Partner) will provide operational and administrative support for Exact Sciences' business operations team through the coordination of a variety of events; including, but not limited to, sales meetings, customer events, advisory boards, sales training, and broad support of commercial operations.

This position will have responsibility for the negotiation of hotel and vendor contracts, make travel arrangements, training event support, and broad commercial operations support. The Commercial Services Meeting and Event Partner will work across multiple departments; including, but not limited to, marketing and sales, training, corporate communications, medical affairs, and any other department involved in the planning and attendance of the exhibits, meetings, and events.

Essential Duties

Include, but are not limited to, the following:

  • Coordinate and execute logistics in support of meetings and/or events.
  • Coordinate with internal stakeholders, including, but not limited to, sales leadership, marketing, compliance, cross-functional teams, and external vendors, to oversee the logistics and coordination of effective large-scale meetings.
  • Proactively research and maintain a current database of possible meetings, events, trade shows, and other relevant industry gatherings.
  • Develop and maintain metrics and processes to ensure successful event execution.
  • Conduct pre- and post-event evaluation.
  • Manage invoices related to the marketing department for meetings, congresses, ad boards, and other events and sponsorships; including, but not limited to, approvals, coding, ensure payment in a timely manner, follow up, and filing.
  • Keep a track sheet of budgets, costs, and invoices that are paid and to be paid related to congresses, meetings, ad boards, and other events.
  • Coordinate completion and administration of vendor, consulting, health care provider (HCP), confidentiality, sponsorship, and other agreements with the legal department; including, but not limited to, submit contract requests in HCP contracts site, distribution, follow up, and physical and electronic filing.

  • Ability and means to travel between Madison locations.
  • Ability to travel 30% of working time away from work location, may include overnight/weekend travel.

Minimum Qualifications

  • Bachelor's Degree in Hospitality, Business, Marketing Communications, or related field as outlined in the essential duties.
  • 3+ years of experience working in a sales, commercial support, corporate, or organizational environment.
  • 3+ years of experience working in event planning.
  • Demonstrated understanding of the hotel industry and exhibit industry.
  • Demonstrated ability to manage medical, healthcare, and pharmaceutical exhibits, meetings, and events.
  • Advanced in Microsoft Office programs Word, Excel, and PowerPoint.
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.
  • Authorization to work in the United States without sponsorship.

Preferred Qualifications

  • Experience in the support of advisory board and speaker training planning with an understanding of compliance and contract requirements.
  • Possession of an active CMP Certification.

Salary Range:

$67,000.00 - $109,000.00

The annual base salary shown is for this position located in US - WI - Madison on a full-time basis and may differ by hiring location. In addition, this position is bonus eligible, and is eligible to be considered for company stock at hire and on an annual basis.
