About This Opportunity

JOB TITLE: Engineering Project Coordinator
POSITION TYPE: Full time
CLASSIFICATION: Non-Exempt

Monday - Friday

Position Overview:

The Engineering Coordinator plays a key role in managing and facilitating the execution of capital projects. This position primarily functions as the communicator, coordinator, and processor for all transactions related to capital projects, ensuring smooth interaction and workflow between internal teams (engineering, operations, EHS, accounting, finance, process improvement, etc.), as well as vendors and contractors.

In this role, you will provide administrative support to Corporate and Plant Project Managers, assisting in project documentation, record-keeping, financial tracking, and ensuring compliance with corporate guidelines and project management standards. You will support engineering and plant teams by maintaining consistent communication and project reporting, ensuring all activities are aligned with project goals.

Key Accountabilities:

Project Communication & Coordination

  • Proactively communicate with all facets of the project team, including engineering, plants, and accounting.

  • Ensure smooth communication with related functions to maintain project efficiency.

  • Address any issues or obstacles that arise during the project lifecycle.

  • Actively follow up on project status, including POs, invoicing, and close-out procedures.

Purchase Order & Invoice Management

  • Issue purchase orders (POs) for project managers based on project needs.

  • Receive and process all invoices for capital projects, ensuring timely approval.

  • Work with Accounts Payable (AP) to expedite invoice payments, identifying fast-track needs.

Documentation & Systems Oversight

  • Ensure proper flow of project paperwork between engineering, plants, and accounting, including Master File updates.

  • Open and follow up on tickets with various agencies to resolve system issues or business functions.

  • Maintain accurate records and documentation for capital projects to ensure compliance and efficiency.

  • Monitor and manage project close-out procedures to ensure all tasks are completed

Project Oversight & Financial Monitoring

  • Lead project managers to stay on track with project spending and financial management.

  • Monitor and address budget adherence and any deviations from financial plans.

  • Ensure timely follow-up and management of PO and invoicing processes.

  • Assist in identifying and resolving any financial or logistical challenges during the project lifecycle.

Minimum Qualifications:

  1. Bachelor's degree

  2. 3-5 years of job-related experience

Preferred Qualifications:

  1. 5+ years' experience as an Engineering Project Administrator, Engineering Coordinator or role with similar responsibilities

  2. Experience with Oracle R12, SAP or similar platform

Physical Setting:

Hybrid work environment at corporate office. Requires employee to come to the office on a regular basis as business needs require.
