MINIMUM QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Bachelor's degree in Business, Education, Healthcare, Administration, or related field OR High School Diploma or Equivalent AND Four (4) years of administrative assistant experience.

EXPERIENCE:

1. Three years' experience in institutional advancement program development and management.

1. Three years' experience in an academic healthcare environment.

1. Plan, develop, and implement alumni programs aligned with adopted missions and goals.

2. Coordinate contact with vendors, administrators, and volunteers to ensure program success.

3. Develop and disseminate social media messages for program promotion.

4. Recruit and train student and alumni volunteers.

5. Organize and manage program-planning meetings.

6. Manage all programs within allocated budget.

7. Identify opportunities and develop strategies to expand programming to meet identified needs.

8. Assist in planning and implementation of Health Sciences, co-hosted University-wide, and community support events on- and off-campus.

9. Prepare and approve copy for invitations, confirmations, and letters to event participants.

10. Serve as administrative support for the WVU School of Medicine Alumni Association, Executive Council and standing committees.

11. Participate in Health Sciences Alumni Office daily operations, strategic planning, event planning, and staff meetings.

12. Design event registration procedures. Oversee management of event registrations.

13. Recruit and supervise volunteer students and staff at events.

14. Host and conduct campus tours.

15. Provide meetings for event follow-up and evaluation.

16. Facilitate communication between all relevant parties regarding program management and implementation.

17. Build and maintain positive relationships with alumni, students, faculty and friends.

18. Develop and maintain positive relationships with vendors and University units.

19. Compile and deliver frequent progress reports to the executive director.

20. Plan and implement a professional development plan.

1. Incumbent must be physically able to perform travel via public transportation or automobile.

2. Must be able to assist in set up and preparation for events and exhibits in public areas.

3. Work requires walking and standing for at events and lifting and handling of boxes/materials 35-40 lbs.

SKILLS AND ABILITIES:

1. Proficient in Microsoft Suite and other database management software.

2. Possess excellent communication skills, both spoken and written.

3. Must be organized and be able to prioritize tasks.

4. Demonstrated portfolio of knowledge and expertise in program development and management
