About the Job

The Division of Physical Therapy is seeking an experienced Administrative Associate to serve as the Division's Graduate Program Coordinator. This position is full time, 40 hours per week, on campus. The Graduate program coordinator will lead the day-to-day operations of the Doctor of Physical Therapy program. The position will work closely with the Division Administrator as well as the Director of Student affairs. This position manages the regulatory procedures for current students that includes onboarding and off boarding. This position will develop policies and procedures relating to the program and overall Division. This position will work to make recommendations to the student affairs committee related to short term planning and policy implementation. This position is also responsible for all communication with DPT course coordinators and lab assistants.

Responsibilities:

(5%) Event planning and Management. With assistance from other staff, this position is primary coordinator for the following events:

  • Planning & implementation of new student Orientation
  • Graduation
  • Scholarship Dinner
  • Research Poster Day
  • Welcome Picnic

(10%) Student financial assistance:

  • Submit scholarships and tuition reductions
  • Trouble shoot student financial aid issues
  • Liaison to the One stop student services financial aid office
  • Process rural stipends for clinical experiences
  • Maintain tuition fact sheets
  • Produce summaries and reports of student scholarships

(30%) Course Management for Faculty:

  • Serves as the point of contact for all course coordinators, Lab and teaching assistants, guest speakers and instructors
    Creates class canvas pages for all DPT courses
  • Update courses in CCS (collaborative Course Scheduling)
  • Update instructors in CCS
  • Update and maintain the following databases: ECAS, PCAS, GPAS
  • Enter student grades
  • Maintain student records
  • Update student advisors on any policy or procedure changes
  • Geriatric residency support
  • Input exams to Canvas
  • Prep course materials
  • Create/distribute faculty & course surveys/evals/guest speaker forms

(10%) Student Management:

  • Course registration
  • Process Certificates of education
  • Send out FSBPT profiles (licensure procedures)
  • Verify graduation/approve graduation via GPAS
  • Manage all student off-boarding and licensure procedures.
  • Maintain Cohort google calendars to ensure all classes, meetings and activities are input and accurate

(10%) Student Affairs Support:

  • Process LOAs or returns
  • Mange the procedures for student probation
  • Manage and report student absences
  • Assist in policy development and strategic planning

(25%) Administrative:

  • PT handbook maintenance
  • PT website maintenance
  • Accreditation Assistance
  • Serve as the primary contact for faculty search committees to Communicate with applicants
    • Schedule interviews
    • Arrange travel
    • Maintain application documents
    • Schedule committee meetings.
  • Attend Graduate Program Coordinator Meetings
  • Provide input on policies and procedures in the Division

(10%) Supervisory:

  • Hire and supervise Student workers
  • Delegate tasks to student workers
  • Supervise Entry Level administrative staff
    • Hire
    • Onboarding
  • Oversee Admin staff member and the following processes:
    • Classroom scheduling
    • Managing private testing accommodations
    • Creating the cohort schedules
    • Internal surveys and evaluations
    • Classroom supply inventory & Linen deliveries
    • Entering assessments into Canvas
    • Textbook and course material ordering
    • Create and distribute exam schedules
    • Event material preparation
    • Managing and posting course recordings
    • Other duties as delegated.
Qualifications

All required qualifications must be documented on application materials.

Required Qualifications:

  • BA/BS degree or a combination of related education and work experience to equal four years.
  • Ability to communicate effectively verbally and in writing with a high level of professionalism.
  • Demonstrated ability to handle multiple tasks, and to work independently and collaboratively in an office that is characterized by a high volume of applications and visitors, deadline pressure, and high student expectations.
  • Project time management and organizational skills. Critical thinking and problem-solving skills.

Preferred Qualifications:

  • Previous experience in graduate program support.
  • Knowledge of Graduate School and Medical School policies and procedures.
  • Experience in scheduling (CCS, ECAS, PCAS, GPAS).
  • Demonstrated experience with a variety of software, office procedures, University/program policy, and resources.

Pay and Benefits

Pay Range: $24.87hr to $29.00hr, we anticipate most offers will be around the midpoint of this range, depending on education and experience.
