Job Description

Summary

The Office Assistant provides administrative and logistical support to professional staff on the department's Facilities and Planning team.

Essential Functions

  • Communication: Coordinate updates about facility-related situations with students and staff through email, flyers, digital signage, website, etc. Liaise with various departments. Adjust tone as needed to communicate clearly and promptly with different audiences: students, staff, vendors, etc.
  • Administrative Support: Assist the Associate Director of Residential Facilities and Planning with meeting agendas and minutes, preparing and maintaining operational documents and records, and support other professional staff in the unit as needed.
  • Logistical Support: Schedule meetings, reserve rooms, coordinate supplies and provide necessary resources for the team.
  • Project Coordination: Help team members with project schedules, submit and track work orders (including warranty repairs), ensure prompt completion, follow-up, and monitor costs to avoid redundancies.
  • Policy & Procedure Development: Develop, edit and maintain various policies, protocols and procedures to facilitate the work of the department and stakeholders.
  • Inventory Management: Record and monitor inventory; coordinate furniture/equipment/asset relocation; and assist in developing resources, gathering data to track work orders and maintaining accurate FFE (furniture, fixtures, and equipment) records. Request quotes, monitor orders, and schedule installations.
  • On-Call Duties: Participate in an on-call door access rotation, including evening and weekend assistance.
  • Supervision: Provide instruction and guidance, and delegate work to student staff to maintain facility operations.
  • Vehicle Management: Organize check-out, maintenance and staff training for department vehicles.

As with all positions, involvement with other duties and responsibilities is expected in order to serve the customer and maintain our Housing and Student Affairs mission.

Shift

40 hours per week, 8 to 5 p.m. Monday through Friday

This position may require evening and weekend hours supporting activities and programs within the department. Occasionally division and campus projects may require additional hours outside of your normal schedule.

This position serves in an on-call rotation to assist students and staff with after-hours door access issues.

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Demonstrated experience coordinating and providing office support
  • Clear and concise verbal and written communication skills
  • Understanding of facilities/maintenance projects
  • Detail-oriented and highly organized
  • Self-motivated and able to follow through on multiple tasks at the same time
  • Excellent customer service skills
  • Willingness to do what is necessary to make the team successful
  • Proficient in Microsoft Office (including Word, Excel and Outlook)
  • Data entry experience
Anticipated Hiring Range

Range: $15.00 - $19.00 per hour, paid on a bi-weekly basis
