The Events Coordinator must have in-depth knowledge of University venues, including capacity, layout, and scheduling protocols, to effectively coordinate events, manage bookings, and provide clients with accurate event details.
Responsibilities include the setup, operation, and maintenance of audio, video, and multimedia equipment, as well as organizing and breaking down event resources such as tables, chairs, and staging. The Events Coordinator will use University-approved diagramming software to create event layouts for client approval. Additionally, they will support Ticket Office staff with ticket sales and customer service during events as needed, ensuring a smooth experience for all attendees.
The employee must be skilled in multitasking and capable of managing multiple projects concurrently. They will maintain precise department and event calendars to avoid scheduling conflicts and ensure seamless customer service. Proficiency in software such as Banner, Web Focus, and 25Live is essential. The employee will work collaboratively with various University departments and external clients to deliver outstanding event management services.
The employee must possess the knowledge and skills to research and analyze event management. They should be able to review and interpret department-specific data, such as event contracts. The role may require independent decision-making and actions, in alignment with department and university policies, to address issues and develop appropriate solutions, along with any other assigned duties.
The employee must be able to receive, interpret, and follow instructions to effectively fulfill all technology needs for events. High accountability is expected, with all tasks performed in a mature and ethical manner. Occasionally, the employee may represent the department in divisional meetings and will assist the Director in supervising event setup personnel, work-study students, and interns.
