We are looking for an administrative teammate to support our Program and Product Development Team (PPD) in efficiently coordinating projects. For this position, we are considering candidates to join our teams in person and remotely. Ideal candidates are proactive, organized, clear communicators, and able to juggle multiple demands on their time. This is an advanced administrative skillset role



Responsibilities

Essential Functions:

    Coordinate meetings and document outcomes. Follow up on open action items.
  • Update and maintain trackers such as decision logs and construction administration trackers.
  • Maintain project templates and ensure adherence (Adobe Suite, MS Word, MS Excel).
  • Distribute review comments; collate and communicate responses.
  • Write instructions for and collate issuances.
  • Coordinate travel and logistics for workshops and client meetings.
  • Produces drafts, reports, correspondence and forms as required.
  • Maintains databases as directed.
  • Coordinates offsite meetings and training as requested.
  • Participates actively in staff meetings and in-house training programs.
  • May provide support for firm-wide initiatives as needed.
  • May assist PPD team with higher level support tasks as needed.


Qualifications

  • Bachelor's Degree in relatable field, or alternately 10 years demonstratable experience in equivalent position.
  • Minimum of 2 years of related project administration experience in a relatable professional field, preferred.
  • Must demonstrate excellent written and verbal communication skills.
  • Must have exceptional time management skills.
  • Possess interpersonal and team skills that allow you to work both independently and as a collaborative team member.
  • Able to handle ambiguity and drive things to completion with minimal oversight.
  • Possess strong organizational skills, having the capacity to handle multiple tasks and projects concurrently while demonstrating ability to prioritize workload.
  • Able to recognize when information is lacking and being comfortable seeking guidance from project leadership or peers. while also having the ability to problem-solve and fill information gaps when needed.
  • Ownership of quality and accuracy of own work.
  • Desire to improve own knowledge and capabilities.
  • Possess intermediate to advanced skills in Microsoft Office products, primarily Word, Excel, and PowerPoint.
  • Present a superior level of professionalism and discretion in all interactions, both internally and externally to the organization.
  • Must demonstrate the capacity to prioritize by assessing situations to determine urgency.

Travel:

  • Must be able to travel occasionally.
