Hillenbrand is looking for a Legal Executive Assistant to join our Corporate Legal team. The Legal Executive Assistant provides administrative support to the Legal leadership team, including the SVP and General Counsel and his direct reports. The Legal Executive Assistant must have the ability to exercise good judgement in a variety of situations, handle confidential matters with discretion, possess strong written and verbal communication, administrative and organizational skills, work cooperatively in a team environment, and have the ability to balance among multiple priorities. This role is governed by our hybrid work policy, reporting to the office at Hillenbrand's global headquarters in Batesville, Indiana two days per week.

Work You'll Do:

  • Perform general administrative tasks including, but not limited to, production, organization and filing of correspondence, presentations, reports, files and other records, management of Legal file shares, answering telephones, managing and ordering office supplies, processing expense reports, and assisting with management of e-mail.

  • Maintain organized files and records ensuring easy access to information when needed.

  • Review and prioritize incoming mail, requests, and legal notices to determine urgency and transfer to appropriate individuals.

  • Assist on litigation matters, including but not limited to, maintaining dockets, case summaries/reports, and files; preparation of legal holds; and collection of corporate records during discovery phase.

  • Assist in responding to third-party subpoenas and requests for information, including assisting with bates labeling, redaction and filing.

  • Suggest new processes/procedures to expedite projects and day-to-day workflow.

  • Assist with management of and organization of contract documents.

  • Arrange domestic and international travel working with an external travel agency and online travel system (Concur), creating travel itineraries and handling changes as requested, and manage any necessary travel documents (such as visas and passports).

  • Manage calendars including scheduling and organizing of all meetings.

  • Organize onsite meetings including ordering food, meeting room reservations and meeting room set up.

  • Complete special projects and other related duties as required and assigned.

Team:

You will report directly to Hillenbrand's Senior Vice President, General Counsel & Secretary, and also support each of his direct reports.

Basic Qualifications:

  • Strong preference for experience supporting attorneys in a corporate legal environment or in a law firm litigation or corporate department

  • Demonstrated sense of integrity, positive attitude,discretion regarding confidential matters, and interpersonal skills withability to build relationships with a global mix of employees and external vendors

  • Ability to prioritize conflicting needs and handles matters expeditiously and proactively

  • Strong technical and organizational skills with excellent attention to detail

  • Excellent written and verbal communication skills, including proofreading and editing

  • Proficient in Microsoft Office (Outlook, Word, Excel, Power Point, Teams), SharePoint, and Adobe Acrobat

  • Ability to operate independently in a fast-paced environment that places a premium on excellence, execution, and teamwork

  • Ability to fill in support gaps as needed

Preferred Qualifications:

  • Associate's degree and 3 years' legal administrative experience, or if no Associate's degree, 6 years of legal administrative experience
