Job Description Summary

Summary:
Under general supervision, this part-time position performs customer relations work for the Wake Forest University Face to Face (F2F) Speaker Forum. The Ticket Sales and Operations Coordinator is responsible for selling subscriptions and single admission tickets via website and by phone using specialized software and processing credit card payments. This role provides information in person, via email, or by telephone regarding event logistics, locations of events, various pricing, ticket availability, and seating arrangements. The Ticket Sales and Operations Coordinator explains box office policies, answers questions, and resolves routine problems regarding ticket sales to ensure ticket accuracy and security. Demonstrating continuous efforts to improve operations and decrease turnaround times, the Ticket Sales and Operations Coordinator will work cooperatively to provide quality customer service while adhering to the Speaker Forum policies. This role will also manage the student ticket registration and distribution process for both WFU and non-WFU students. Manages invoicing and revenue tracking for F2F events. Works collaboratively with the ASM Global box office team on ticket conflict resolution and general questions. Advises the Executive Director on important matters for subscribers, keynote society members, and all discretionary holds. This position requires an exceptionally high level of discretion due to exposure and access to highly confidential and sensitive information.

Job Description

Essential Functions:

  • Sells subscriptions and single admission tickets via website and by phone using specialized software for all Face to Face events.
  • Provides information in person, via email, or by telephone regarding event logistics, locations of events, various pricing, ticket availability, and seating arrangements.
  • Responds to customers of the Speaker Forum by explaining box office policies, researching and investigating problems, answering questions and resolves routine problems regarding ticket sales to ensure ticket accuracy and security.
  • Authorizes and processes credit card sales and checks and applies payment to the payment tracking system.
  • Resolves customer issues as it relates to tickets or parking onsite the day of the event.
  • Prepares various tracking and ticketing reports.
  • Manages invoicing and revenue tracking for F2F events.
  • Advises the Executive Director on important matters for subscribers, keynote society members, and all discretionary holds
  • Manages the student ticket registration and distribution process for both WFU and non-WFU students.
  • Updates the automated phone system to reflect current event.
  • Delivers tickets for particular F2F patrons.
  • Serves as main contact for Face to Face patrons.
  • Performs other duties as assigned.

Required Education, Knowledge, Skills, and Abilities:

  • High School degree with specialized training plus six months' experience or an equivalent combination of education and experience.
  • Proficiency in technical and computer skills, including Word, Excel, database management, the Internet, and other relevant software.
  • Possesses a high degree of self-motivation, a positive attitude, strong work ethic and good judgment.
  • Strong service orientation; must delight in providing excellent customer service.
  • Able to solve problems and think on your feet.
  • High level of attention to detail and accuracy.
  • Ability to work independently and with minimal supervision.
  • High level of proficiency with project management techniques and the ability to follow up on all tasks until successful completion.
  • Ability to handle concurrent assignments and changing priorities as circumstances dictate; ability to be nimble to meet demanding deadlines.
  • An ability to understand the highly sensitive and private nature of the work and the ability to keep such information confidential.
  • Ability to analyze and interpret policy and procedural guidelines.
  • Flexibility to work evenings and weekends and variable hours as required.
  • Should be able to meet the requirements of the University's automobile insurance policy.
  • Excellent interpersonal and communication skills, both verbally and written, with a broad range of internal and external constituents.
  • Ability to learn and use Advancement database (Blackbaud) and OnBase document imaging system; develop/refine skills as needed.
  • Ability to handle checks and credit card sales.
  • Ability to research and organize information and data with accuracy and attention to detail.
  • Ability to answer moderately complex questions. Proactively seeks additional information to perform assigned duties.

Preferred Education, Knowledge, Skills, and Abilities:

  • BA/BS degree preferred.
  • Ticketing experience preferred.
