Target hiring range for this position will be between be $19.89 to mid $23.02 per hour . Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

Job Summary

The Journals Program Assistant provides administrative support for the activities and production of Northwestern's student-edited journals with a legacy of over 100 years of scholarship. Under the direct supervision of the Coordinator of Student Journals along with general direction from the Deputy Director and Director at the Pritzker Legal Research Center, the Journals Program Assistant helps ensure smooth production of the print and online scholarship journals. The Journals Program Assistant handles day-to-day journals budget matters with guidance and oversight from the PLRC's Financial Coordinator, coordinates logistics for symposia and events hosted by the journals and responds to matters involving administrative functions associated with student journals operations with guidance from the PLRC's Program Assistant. This role also assists the PLRC's access services department with circulation duties, including retrieving materials and fulfilling requests submitted by journal editors and members and the Northwestern Law and University community.

This is a full-time in-person position with the possibility of one remote day per week after three months.

Located in the heart of the Gold Coast on Northwestern's Chicago campus, the Pritzker Legal Research Center supports the research and instructional needs of more than 900 J.D. and LL.M. students and 90 residential faculty of the Northwestern Pritzker School of Law.

The Pritzker Legal Research Center is a highly service-oriented library. We are looking for someone who enjoys building positive working relationships with a wide variety of people ranging from students to peers to faculty members. The successful candidate will join a team of librarians and staff who maintain a very collaborative work environment. The candidate will have the freedom to work independently and must have a strong sense of responsibility and reliability.

Specific Responsibilities:

MONITORS ANNUAL BUDGET FOR THE JOURNALS DEPARTMENT, GENERATES SUMMARY REPORTS, STATEMENTS AND STATISTICS, ASSIST WITH FISCAL YEAR CLOSEOUTS.

  • Serves as point person for all purchases related to student edited journals, including approving appropriate expenses, facilitating purchases, and processing invoices, journal transfers, and reimbursements.
  • Processes transfer journals, handles financial records, deposits and revenue.
  • Coordinates and tracks logistics for large scale events.
  • Uses project management skills to timeline and coordinate journal events, including speaker travel arrangements, marketing, venue, catering, promotional materials, and technology.
  • Maintains office supplies, subscriptions, and processes orders for merchandise.
  • Tracks and maintains calendar for journal events and symposia.
  • Provides administrative assistance related to student journals and library circulation desk functions, including item retrieval and maintenance requests.

*Will perform other duties as assigned.

MINIMUM QUALIFICATIONS (EDUCATION, EXPERIENCE, CERTIFICATIONS, SKILLS)

  • A high school diploma or equivalent required.
  • Two years of administrative support or other relevant experience required.
  • Intermediate knowledge of word processing, spreadsheet, email, and database software programs.

PREFERRED QUALIFICATIONS (EDUCATION, EXPERIENCE, CERTIFICATIONS, SKILLS)

  • Bachelor's degree or higher.
  • Detail-oriented with strong organizational and problem-solving skills.
  • Ability to perform mathematical operations, make calculations, create apply formulas, generate reports and analyze data.
  • Understanding of or prior work experience in an academic law library environment or law school - working with law students, or law firm and other relevant legal exposure.
  • Exceptionally reliable and have demonstrated reliability in prior work experience.
  • Excellent oral and written communication.
  • Excellent interpersonal skills and ability to establish positive working relationships with a wide variety of people ranging from students to peers to faculty members.
  • Ability to work both independently and as part of a team.
  • Flexibility and commitment to providing outstanding customer service.
  • Facility using library research databases and integrated library systems such as Alma.
  • Proficiency with digitization software.
  • Familiarity with legal resources.
