Role Summary

We are looking for a successful and enthusiastic Meeting Planner to produce events from conception through to completion. Meeting Planner responsibilities include providing outstanding customer service and organizing memorable events that meet quality expectations.

What will you be engaged in day-to-day?

  • Planning, designing and producing meeting/conference materials and logistics while managing all project delivery elements within time limits.
  • Developing meeting agendas, ensuring content is outlined clearly and effectively. Creating
  • Corresponding via phone and/or email with attendees and presenters; tracking speaker responses.
  • Supporting or managing onsite staff (internal and contractors).
  • Serving as liaison with clients to identify their needs and to ensure customer satisfaction.
  • Conducting market research, gathering information and negotiating contracts prior to closing any deals.
  • Providing feedback and periodic reports to stakeholders.
  • Proposing ideas to improve provided services and event quality.
  • Organizing facilities and managing all event's details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc.
  • Troubleshooting any emerging problems on the event day.
  • Conducting pre- and post - event evaluations and reporting on outcomes.
  • Performing other duties as assigned.
Requirements

What qualifications will help you succeed?

  • BS in Event Management or related field and 5+ years meeting/event planning experience
  • Preferred candidates will hold relevant certifications such as CMP, CGMP, and/or VEMM, demonstrating expertise in event and meeting management, though these credentials are not required
  • Experience planning meetings at the National Institutes of Health (NIH).
  • Strong written and oral communication skills.
  • Management of onsite teams and associate planners.
  • Relevant industry knowledge up-to-date with market changes.
  • Ability to lift, carry and otherwise move up to 10 pounds on a regular basis.
  • Ability to sit, stand or walk for various lengths of time throughout the day.
  • Ability to communicate effectively with clients and co-workers.
  • Must be proficient with Microsoft Office (Word, Excel, PowerPoint).

At IQ Solutions, our total compensation package is inclusive of comprehensive benefits for full-time staff which include: medical, dental and vision insurance, well-being programs, and financial, retirement, family support, professional development, and paid time off benefits. The estimated pay range for this position is: $40.00/hour in our lowest geographic market up to $60.00/hour in our highest geographic market, annually. Elements of our total compensation package are also based on an employee's performance in their role as well as the company meeting its annual organizational goals.
