Reporting to the Executive Director of Athletics and Institutional Branding, the Athletic and Institutional Branding Office Manager will oversee the day-to-day operations of the office by coordinating athletic events and office activities, maintaining accurate department records and files, assisting with the creation of informational materials, verifying athletic compliance, submitting all orders, contracts, and financial information related to the Athletic and Institutional Branding Office, and managing day to day office operational tasks.

Essential Duties:

* Manage the day-to-day operations of the Athletic and Institutional Branding Office.

* Excel at building relationships with staff, community members, partners, and potential sponsors as the front of house contact

* Ensure Athletic policy, procedure, and compliance items are up to date, including maintain accurate reports regarding academic progress and eligibility of all athletes

* Manages the budget, expenditures, and reconciliation for the office. Prepares requisitions for purchase, check requests, budget transfers, and other Budget and Foundation expenditures or needs.

* Coordinates and processes all office purchase requisitions and maintains office supply inventory.

* Maintain accurate and up-to-date department records and files

* Coordinates all travel arrangements for the Athletic Department. Prepares all Travel Spend Authorizations and Expense Reimbursement and manages the travel itineraries with input from the Executive Director of Athletics and Institutional Branding and Head Coach for the sport traveling.

* Coordinates events for the Athletic Department. Act as a point of contact for events.

* Coordinate inventory of equipment, uniforms, and other department items. Act as a liaison with vendors maintaining accuracy and timeliness.

* Prepare reports as needed regarding athletic and marketing initiatives

* Perform any other related duties as required or assigned.

* General Clerical work including but not limited to: Answering and directing phone calls, filling, copying, printing, scanning, emailing, making phone calls and message retrieval, direct public interaction and customer service.

Rate of Pay: $18.55 per hour

Knowledge, Skills, and Abilities:

Strong organizational and time management skills, attention to detail, and customer service driven

Excellent communication and interpersonal abilities

Proficiency in Microsoft Office, Workday, and content creation platforms

Showcase outstanding verbal and written communication with effective follow up

Ability to take initiative and "make it happen"

Self-motivated with the ability to prioritize and assist with overall project management

Knowledge of work-related subject area

Ability to prepare, present, and review oral and written information and reports

Ability to research and analyze related work program information

Ability to analyze financial records and prepare reports

Attention to detail and commitment to executing quality work

Ability to work independently as well as part of a team

Must have commitment to deadlines and be open to flexible working hours

Ability to work on-site, not remote

Required Qualifications:

Associate degree required. Equivalent to two years of college, or equivalent combination of education and experience.

- Proven experience serving in an administrative capacity

- Knowledge of athletic department operations and NJCAA compliance regulations

Preferred Qualifications:

Bachelor's Degree

- Experience in Athletics Administration

- Experience with video and graphic design platforms
