ABOUT THE JOB

The Tepa Companies are seeking a Senior Project Administrative Assistant (PAA) to provide project support to the management, field teams, and other PAAs. This role will create and maintain all project files electronically and in the company's accounting system, tracks all subcontractor paperwork (including but not limited to: subcontracts, insurance, payroll, pay applications), maintains communication between the field staff and office in relation to subcontractor employee hours and labor classifications.

Job Functions:

  • Monitors project budgets to help ensure resources are used efficiently
  • Performs cost analysis and provides recommendations to management
  • Maintains open communication with field staff regarding all issues and work to resolutions
  • Ensures accounting has necessary contract documents for project maintenance and payments
  • Tracks and submits expense reports for management and field teams
  • Reports status and updates verbally and in written form to management
  • Organizes and monitors schedules and see that deadlines are met
  • Coordinates efforts within the team and with outside vendors efficiently
  • Conducts general clerical duties as required (typing, filing, meetings, etc.). Prepare memos, forms, and letters as needed
  • Responsible for electronic and hard copy document filing
  • Submits and tracks business licenses
  • Provides superior administrative support to management
  • Assists multiple project managers with project specifics as requested
  • Manages and tasks a team of PAAs

WHAT WE'RE LOOKING FOR

  • High school diploma required
  • 5-7 years of project support experience
  • Ability to identify issues with project logistics
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multi task, prioritize and work under pressure
  • Strong organizational, written and verbal communication skills
  • Collaborative working style and team-player attitude
  • Proficient Microsoft office suite
