Role and Responsibilities:


The Coordinator Assistant performs administrative and routine clerical tasks. Responsibilities include organizing and managing files. acting as receptionists, scheduling meeting and appointments and supporting other staff with organizational task.



  • Perform administrative tasks to support department.

  • Handle incoming calls regarding questions from seniors, family, social workers etc. Complete request to start, stop and re start meals.

  • Complete Form 5's and send them electronically to SWAA- Enter all Form 5's into Seniors.

  • Record and review information needed.

  • Update paperwork, maintaining documents and filing.

  • Responsible for congregate cafe sites: ordering meals, bringing deposits to the bank, talking to the Cafe Managers, and making sure cafe sites are covered in the event of a call out.

  • Order Kosher HDM weekly.

  • Keep track of meals ordered.

  • Keep track of deposits made.

  • Notify Cafe Managers and Senior Center Director's of inclement weather closings.

  • Interact with employees with a wide range of skills and disabilities.

  • Assist with monthly MIS, review and making inventory matches up.

  • Send Kosher meal totals to JSS for them to prepare the monthly invoice.

  • Deliver meals when needed.

  • Work at cafe sites when needed.

  • Perform any other duties as assigned.


Qualifications:



  • High School degree or equivalent.

  • Strong understanding of food safety and sanitation practices, ensuring the highest standards for meal preparation and service. (Preferred)

  • Ability to interact professionally with a wide range of guests, volunteers, and team members.

  • Ability to accurately follow instructions and complete paperwork.

  • Experience in Excel and Microsoft Word.

  • Must be able to work effectively as part of a team, collaborating with others to ensure all duties are completed efficiently.


Physical Demands:



  • May lift up to 30lbs regularly.

  • Reaching in all directions, stooping, crouching, bending, walking, and twisting.

  • Remaining on your feet for extended periods.


Environmental Demands:


While performing the duties of this job, the employee is occasionally exposed to outside weather conditions.
