Job Summary:

The Department of Radiology, University of Wisconsin-Madison, School of Medicine and Public Health (SMPH) is seeking an Onboarding Coordinator (Administrative Assistant III) to help oversee and manage all the onboarding responsibilities for the Department. This position will work closely with the Associate Department Administrator, section supervisors and administrative assistants during the onboarding of new faculty, staff and non-accredited fellows. In addition, the Administrative Specialist will provide administrative support for the business operations within the department.


Responsibilities:
Provides general administrative support, while exercising discretion, to the administrator of a department or division of the institution or to the administrator of multiple institution programs, services, and activities.

  • 20% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 40% Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
  • 10% Prepares and audits complex records, edits documents, and reviews work done by others
  • 10% Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • 20% Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

Education:

Preferred
Bachelor's Degree


Qualifications:

Required:
At least one years of administrative experience or equivalent required.
Experience planning, organizing, and scheduling meetings required.
Experience working in an academic or clinical environment required.
Experience with Microsoft Office suite required.

Preferred:
Experience creating onboarding itineraries is preferred.
Excellent time management skills.

Preference will be given to candidates with the following:
Excellent verbal and nonverbal communication skills.
Excellent organizational, decision-making, problem-solving and multitasking skills.


Work Schedule:

Hours are flexible, and are Monday through Friday, in the range of 8:00am - 4:30pm.

Full Time: 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Salary:

Minimum $26.02 HOURLY

The starting salary for the position is $26.02 for hour, but is negotiable based on experience and qualifications.

Additional Information:

The department will not be able to support a request for a J-1 waiver. If you choose to pursue a waiver and apply for our position, neither the UW nor UWMF will reimburse you for your legal or waiver fees.
