Summary Description:

The Executive Administrative Assistant provides high-level administrative support to the American Management Team (AMT). Our Executive Assistant is a valuable part of our team and needs to be a supportive force who empowers our senior leadership. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This position reports directly to the Billerud North American President.

Key Accountabilities:

  • Ensure quality and timeliness of all documents - memos, reports, invoices and presentations
  • Manages schedules for the AMT President, supports necessary coordination of scheduling for other AMT Executives, to include creating and managing calendars and travel arrangements
  • Collaborate with other mill Administrators, Billerud Europe Executive
  • Administrators and communication partners on action items involving leadership team and communication projects
  • Scheduling and coordination of meetings, resources, and special events both locally and at the enterprise level when needed - including Monthly Business
  • Reviews (MBR's), Quarterly Business Reviews (QBR's)
  • Meeting attendance and preparation of minutes including action item follow ups
  • Records Management
  • General clerical and administrative support for the North American President and AMT to include, when needed, compiling data and preparing documents for AMT
Qualifications

Minimum Required Skills:

  • Strong computer skills - working knowledge of Microsoft Office Suite (Excel, Word, Power Point)
  • Ability to exercise independent judgment in planning and prioritizing multiple projects
  • Must be able to maintain the highest level of confidentiality as often an insider of AMT projects and initiatives - including personnel matters
  • Must possess excellent communication skills (verbal, written and interpersonal)
  • Must possess excellent planning and organization skills
  • Able to make decisions in non-routine situations or when supervisor is unavailable
  • Knowledge of business math/accounting principles
  • Must demonstrate initiative and creativity and be self-motivated
  • Able to "learn on the fly"
  • Strong interpersonal skills. Able to relate to all levels of the organization
  • Technical and creative writing skills
  • Must have the ability to work under pressure and deal with diverse issues and people and be able to prioritize and multi-task
  • Must maintain strong attitude and behavior i.e. a role model and ambassador of our business values and code of conduct
Personal qualities

Minimum Required Experience and Education:

The qualified candidate will have:

Education:

  • Bachelor's Degree in business management or related field of study

Experience:

  • Minimum of 5 years' experience providing administrative support to senior management
  • Experience with office systems, procedures, and technology
  • Communications, Public Affairs, or Business Administration experience is desired

Travel:

Travel requirements: Negotiable
