General Summary:

The role of full-time Office Administrator at the Warner Robins, GA location is fulfilled through providing administrative and operational support to the existing staff of Managers, Engineers and Technicians. In utilizing one's skills and experience in project management, support of high-volume corporate purchasing requirements, engaging with vendors, customers and visitors both in the office and via telephone reception, this individual will collaborate with all levels of internal staff and external contacts. Through performance of general clerical assignments and ad hoc administrative tasks, the ES3 office administrator serves a variety of functions to support overall site operations.

Required Capabilities & Duties:

  • Prepare reimbursement requests to include cash, business meal, and travel expense
  • Attend project meetings and prepare meeting minutes and action items reports
  • Process purchase orders requests, secure signatures, approvals and maintain accurate and timely upload of receiving reports to ERP
  • Provide Human Resources onboarding and offboarding support through new hire orientation, assimilating to new local site environment.
  • Responsible for monitoring office recurring safety and training records
  • Responsible for office filing, storage duties, and maintaining break room supplies
  • Research information as directed or determined
  • Sign for front office packages, sort and distribute mail and received shipments
  • Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc)
  • Maintain office calendar and assist in planning and coordinating company events to include accommodation and entertainment arrangements
  • Coordinate travel arrangements, process expense reports and travel reimbursements
  • Greet guests in a professional and friendly manner
  • Answer incoming phone calls and direct callers to appropriate personnel
  • Perform other related duties as assigned

Key Competencies

  • Ability to multi-task, be flexible with shifting priorities and possess strong organizational skills
  • Ability to maintain high-volume workload
  • Proficiencies in Microsoft Word, Excel, PowerPoint, Internet Explorer, Search Engines and Email systems
  • Must have knowledge of standard office administrative procedures and ability to operate standard office equipment
  • High level of interpersonal skills to handle sensitive and confidential situations and information
  • Excellent verbal and written communication skills with all levels of office hierarchy.

Education & Experience Required

  • Bachelor's Degree, Business Administration, Economics, Marketing or related discipline
  • 2-3 years of related Administrative Operations experience
  • 1 Year Experience preparing reimbursement requests, travel reports, processing PR/PO's
  • Purchase Card Authority experience.
  • Functional proficiency with use of MS Word, Excel, Powerpoint

  • Must be a U.S. Citizen
  • Local resident of Houston County
