Summary:

The Manager, Operational Services, will oversee and streamline internal operations to ensure efficiency, accuracy, and optimal support for the firm's accounting professionals and clients. This role is critical to maintaining high standards of service delivery, enhancing internal processes, and supporting the firm's overall strategic goals.

Responsibilities:

  • Manage day-to-day operations, including workflow optimization, assisting resource managers with compiling needed information, and support for practice staff.
  • Ensure the timely and accurate execution of key operational processes, including client onboarding, engagement administration, and reporting.
  • Develop and implement operational policies, procedures, and best practices to support efficiency and service quality, including recording training videos.
  • Supervise and mentor operational support staff, providing training, performance evaluations, and development opportunities.
  • Serve as the point of escalation for operational challenges and provide effective problem resolution.
  • Evaluate existing systems and processes to identify opportunities for improvement and automation; gather pain points on new ERP system and assist in solutioning.
  • As changes are identified from pain points on new ERP system, detail out the accounting impacts for decision makers to determine proper path.
  • Work with Operational Services Director on firm initiatives and departmental operations leaders to drive initiatives forward.
  • Monitor key performance indicators (KPIs) to measure process effectiveness and drive continuous improvement.
  • Oversee client engagement setup, time tracking, and billing processes in coordination with practice staff, Finance and Revenue Operations.
  • Support partners and managers in ensuring client deliverables are managed efficiently and meet firm standards.
  • Ensure consistent communication between operations, client service teams, and firm leadership.
  • Monitor budgets related to operational services, identifying cost-saving opportunities while maintaining service quality.
  • Ensure adherence to internal controls, firm policies, and regulatory requirements (e.g., data privacy and retention).
  • Coordinate with other team members and manage updates to ensure data integrity.
  • Support firm leadership during audits or other quality control reviews.
  • Research various state laws and regulations for filing requirements.
  • Work with Operational Services Director on firm acquisition support.

Qualifications:

  • Bachelor's degree in Business Administration, Operations Management, Accounting, or related field and/or equivalent combination of education and experience.
  • 5+ years of experience in operations, project management, or administration within a professional services environment (public accounting preferred).
  • Active or inactive CPA license is highly preferred
    Proficiency in relevant software tools, including practice management systems, MS Office Suite, and collaboration tools
  • Experience in financial reporting, budgeting, and operational forecasting to align resources with firm goals.
  • Experience integrating and streamlining firm technologies (e.g., CRM systems, time tracking, document management systems).
  • Experience with regulatory compliance and quality assurance in a professional services environment, ensuring policies and controls are consistently applied.
  • Experience leading cross-departmental initiatives, with a proven ability to collaborate with senior leadership and influence stakeholders.
  • Strong understanding of workflow processes, process improvement methodologies (e.g., Lean, Six Sigma), and operational efficiency.
  • Strong interpersonal, negotiation, and communication skills, with the ability to interact confidently with professionals at all levels.
  • Exceptional problem-solving skills with a proactive mindset, anticipating challenges and providing actionable solutions.
  • Proven ability to analyze complex processes and implement effective, sustainable improvements.
  • Demonstrated ability to manage change within an organization, including training teams on new tools, systems, and processes.

Compensation Range: $90,000.00 - $100,000.00 per year
