Harkcon, Inc. is hiring an experienced Administrative Assistant to our National Security and Intelligence team, supporting a key customer within the Department of Energy (DOE) / National Nuclear Security Administration (NNSA). The Administrative Assistant will provide high-level administrative and managerial support to upper management within the Internal Communications office for DOE/NNSA. This position is full-time. Responsibilities:
- Prepare correspondence; assemble and distribute documents; plan, coordinate, and participate in meetings; and provide other general administrative management support.
- Apply experience, expertise, analytic judgement, and substantive awareness in the preparation of official memoranda, consolidation of comments on concurrence packages, research and advice in support of current policies and decision-making activities, and other special projects and initiatives.
- Prepare official and unofficial correspondence, memoranda, reports, and other documents, to include reviewing documents for Director's signature, coordination, or concurrence; ensuring accuracy and completeness, conformance with style, format or procedural requirements and guidelines are met.
- Track unclassified correspondence (official and unofficial) through the NNSA eDOCS tracking system.
- Update and maintain office roster, org chart, COOP card, MIS profile, and Global Address List (GAL).
- Provide photocopying, assembly, coordination, and distribution support of unclassified documents.
- Independently schedule in-person meetings, teleconferences, and video-teleconferences.
- Facilitate mail services to include sending, receiving, and distributing packages domestically and internationally.
- Assist in the preparation, coordination (with Human Resources), submission, and tracking of recruitment packages, position descriptions, job analysis mosaics, recruitment checklists, and vacancy announcements for DOE/NNSA "permanent" positions.
- Assist in the preparation, coordination (with Human Resources), submission, and tracking of Expressions of Interest (EOIs) for short-term temporary duty positions.
- Assist in arranging interviews for candidates for permanent and short-term positions.
- Serve as writer/editor, for weekly, monthly, quarterly, and annual activity reports highlighting the accomplishments of the Department's overseas presence and related program activities.
- Assist in the support, development, and maintenance of plans, policies, procedures, process descriptions, diagrams, job aids, surveys, studies, assessments, evaluations, etc.
- Prepare and coordinate memoranda of agreement.
- Prepare and maintain staffing and human resources activity reports.
- Provide a professional, customer-oriented approach when dealing with internal and external customers.
- Maintain strong working knowledge of NNSA strategic vision, governance, program milestones, decision documents, interagency memoranda, and implementing of actions and programs.
- Event planning, logistics, and interagency coordination, such as scheduling physical meeting space, setting meetings, delivery of office equipment, temp space, office moves, etc.
- Receive, submit, and handle phone calls, emails, and service tickets.
Qualifications:
- Bachelor's degree plus 5 years of relevant experience
- Focused on business administration and/or communications
- Proficiency with MS Office Suite
- Experience with DOE administrative procedures and interagency processes
- Developing and updating messaging; and maintaining updated records (Records Management)
- Experience with HR systems (desired)
- DOE L clearance (DOD Secret) required
Location:
- Hybrid combination of onsite at the NNSA Headquarters Forrestal Building in Washington, DC, and remotely in the DMV area
